Overview

AI Email Replies answers your customers' support emails with the same AI Instructions and knowledge base as your chatbot. You forward your support emails to a personal Asyntai address, and the AI replies to each customer in the same email thread.

Every email also shows in the Email inbox. There you read the conversations, answer the emails that need a person, and see what the AI sent.

How It Works

  1. A customer writes - The email arrives in your own mailbox, as before.
  2. Your mailbox forwards it - A forwarding rule sends a copy to your Asyntai forwarding address.
  3. The AI reads it - Newsletters and automatic emails are left alone. Emails that match a hand-off rule go to a person.
  4. The AI replies - It answers from your knowledge base, in the customer's language and in the same thread, or writes a draft for your team.
  5. You stay in control - Every email and reply is in the Email inbox, and you can get an alert when a person must answer.

Setup

1
Open AI Email Reply Settings Open the Email inbox from your dashboard menu, then click Email settings.
2
Copy your forwarding address Each website gets its own address that ends with @asyntai-mail.com.
3
Forward your support emails to it The settings page has short steps for Gmail, Outlook / Microsoft 365, Zoho Mail and other providers. A confirmation code from Gmail shows on the page.
4
Choose how the AI replies Switch on AI email replies and choose Send replies automatically or Write drafts only. With automatic replies, you can also set a reply delay.
5
Send a test email Send an email to your support address. The settings page shows when the first email reaches Asyntai.

Automatic Replies or Drafts

  • Send replies automatically - The AI sends its reply by itself. A reply delay of up to 4 hours makes replies arrive later, not at once. If your team replies first, the AI reply is not sent.
  • Write drafts only - The AI writes a reply but does not send it. The draft waits in the reply box of the Email inbox, and a person checks it and clicks Send.

Note: Every reply or draft the AI writes counts as one AI reply of your plan, the same as an answer in the chat. Write with AI counts as one too. Replies your team writes without AI do not count.

Emails That Always Go to a Person

The AI does not answer these emails. It leaves them for your team, and you can get an alert for each one:

  • Refund requests
  • Complaints and angry customers
  • Legal threats
  • Requests to talk to a person

You can add your own rules, for example questions about a specific order, and you can list the kinds of emails the AI should answer.

The Email Inbox

  • All, Customers, Needs a person - All shows every email that arrived. Customers shows the conversations the AI handles. Needs a person shows what waits for your team.
  • Reply box - Answer any email from the inbox. Your reply goes from your support address, in the same thread.
  • Write with AI - Write a short note, for example refund approved, 20 EUR, in 5 days, and the AI turns it into a full reply in the customer's language.
  • Mark as answered - Use it when you answered an email in your own mailbox.

Send Replies From Your Own Address

Replies first go from your Asyntai forwarding address, with your support address as Reply-To, so customer answers still reach you. To send replies from your own address, for example support@yourshop.com, click Connect my domain on the settings page and add the 2 DNS records it shows at your domain provider.

Note: On Cloudflare, set both records to DNS only (grey cloud), not Proxied. Addresses on Gmail, Outlook and similar services cannot be connected.

Live Data From Your Tools

If you set up Custom Tools or connected Shopify, the AI can look up live data while it writes an email reply, for example the status of an order. This works for automatic replies, drafts and Write with AI.

  • Read-only tools only - The AI uses your custom tools with the GET method and the Shopify order lookup. Tools with the POST method can change data, so they work only in the chat.
  • The sender is the customer - Every tool field for an email address gets the address the email came from. A customer cannot look up the orders of another email address.

Alerts

When an email needs a person, Asyntai emails you the customer's email with a button that opens the conversation in the Email inbox. You can choose the alert address on the settings page.
