Voice assistant for your customers

An AI voice assistant for business that customers talk to

Some questions are easier to ask out loud: on the phone before a visit, or on your website while looking at a product. Asyntai gives your business one voice assistant for both places. It answers from your own pages and documents, follows the rules you write, and brings in your staff when a customer needs a person.

What customers can ask

The questions your customers can put to it

Think of what your staff explain at the counter and on the phone each week. If you have written it down somewhere, the assistant can say it out loud.

How to visit you

Opening hours, holiday hours, parking, directions and access. The assistant takes them from your website and from any notice you add, so a customer hears the hours that apply this week.

“Is there parking for a van?”

What you sell and what it costs

Product ranges, services and prices, from your pages and the price lists you upload. It gives the figures your documents state, and offers a callback request for anything they do not cover.

“Do you sell raised bed kits, and in which sizes?”

How things work with you

Delivery areas and fees, returns, guarantees, how to order and how to pay. If your own system has an API, Custom Tools let it look up live data too, for example the status of an order.

“Do you deliver to Westbrook, and what does it cost?”

Something only a person can settle

On a call, a customer who asks for a person is put through to your staff during your hours. Outside them, the assistant takes a callback request. Contact details a customer gives can be saved as a lead.

“Can I speak to someone about a large order for our school?”
Two places, one assistant

Where your customers meet the voice assistant

You do not have to pick between the phone and the website. The same assistant, with the same knowledge, answers in both places, and you can switch on either one or both.

  • On your business phone numberThe assistant answers numbers in your own Twilio account, which Twilio bills to you. To keep the number customers know, forward calls to the Twilio number, for example when nobody picks up.
  • On your website, through the voice buttonSwitch on the voice button on the Voice Agent page, and it appears in the Asyntai chat widget. Visitors talk instead of type, and the transcript goes into the chat.
  • Change an answer in one placeUpload a new document or edit an AI Instruction, and the next phone call and the next website conversation both use it.

Business, not personal

How a business voice assistant differs from a personal one

Voice assistants on phones and smart speakers serve their owner with general information. A business voice assistant serves your customers with information about your business.

Getting started

Give your business a voice assistant

Start with your website, talk to the assistant in your browser, then choose where customers reach it: on the phone, on the website, or both. Phone calls and the voice button come with the Standard plan and higher.

  1. Create an Asyntai account and add your website. The pages are read in a few minutes. Upload price lists, delivery areas and any policy you want the assistant to use.
  2. Write AI Instructions for what it should always say, or always pass to a person, for example plant problems or large orders.
  3. On the Voice Agent page, write the greeting and make a free test call in the browser. Switch on the voice button for your website chat.
  4. For the phone, connect Twilio on the Phone Calls page and import your number. Add a transfer number next to it, set your hours under Escalation, then call it.
FAQ

AI voice assistant for business: owner questions

What to know before your customers start talking to it.

How is it different from the voice assistant on my phone?

A personal voice assistant answers its owner with general information. Asyntai's voice assistant answers your customers about your business, from your website, your documents and the AI Instructions you write. It also passes customers to your staff and keeps a transcript of each conversation.

What can my customers ask it?

Anything your content covers: opening hours, directions, products, services, prices, delivery, returns and how to order. With Custom Tools, it can also look up live data in your own system if that system has an API. For a question your content does not cover, it offers a callback request.

Can I use it on my website only, without a phone number?

Yes. Switch on the voice button on the Voice Agent page, and visitors can talk to the assistant in the Asyntai chat widget on your site. A Twilio number is needed only when you also want phone calls answered.

Our prices and stock change with the seasons. How does it keep up?

Upload the new price list or edit the AI Instructions, and the next conversation uses the change. Changes on your website reach the assistant when you have Asyntai read the changed page again. A seasonal notice works well as an AI Instruction that you delete when the season ends.

Can it pass a caller to one of my staff?

Yes. Give the phone number a transfer number, turn on Escalate to Human, and set its hours. During those hours, a caller who asks for a person is put through, and your phone shows the caller's own number. If nobody answers within 20 seconds, the assistant takes a callback request instead.

How do customer details reach me?

A callback request, with the customer's name and a number they confirmed digit by digit, goes to your escalation email. Phone numbers and email addresses that customers give can also be saved as leads when lead collection is on. Every conversation is in your dashboard with the full transcript.

What does it cost a small business?

The voice assistant is part of the Standard plan ($139 a month, 200 voice minutes, 5 calls at the same time) and the Pro plan ($449 a month, 1,500 voice minutes, 10 calls at the same time). Phone calls and the website voice button share the same minutes. Twilio bills phone numbers and call minutes separately.

Which language does it speak on calls?

Calls are answered in English. Your website and documents can be in any language, and the assistant answers from them in English. Other languages on calls are available on request at [email protected].

What an AI voice assistant does for a business

Personal voice assistants answer spoken questions for one person, with general information. A customer who wants to know whether your shop delivers on Saturdays needs something else: an answer from your business, in your words, at the moment they ask. That is what an AI voice assistant for business is for. Asyntai gives you one, for your phone line and for your website.

Start with the questions. Typical examples are: what time do you open on the holiday, is there parking, do you have this in stock, do you deliver to my area, what does it cost, can I return it. Take a garden centre in spring. Its customers might ask about bulk compost deliveries, the opening times over Easter, whether the café takes cards, and whether a new fruit tree should already have leaves. When those answers are on the website or in a price list, the assistant gives them on the spot, and the staff on the shop floor keep helping the customers in front of them.

The answers come from what you give it. Asyntai reads your website page by page, uses the PDF files and text you upload, and follows the AI Instructions you write in plain English. If your delivery sheet says bulk deliveries cost 35 dollars within 15 miles, that is the figure a customer hears. The assistant does not invent prices or policies. When a question goes beyond your content, it offers a callback request. Keeping it current is part of your normal routine: upload the new document, or edit an AI Instruction, and the next conversation uses it. If you change a page on your website, have Asyntai read that page again.

On the phone, the assistant answers numbers in your own Twilio account. You import the number on the Phone Calls page, and Twilio bills you for the number and the call minutes. To keep the number your customers already dial, you can forward calls from it to the Twilio number, for example when nobody picks up or after hours, with the call forwarding most phone providers offer. Each call starts with the assistant saying that it is an AI assistant, then your greeting. After that the customer talks normally, hears a reply within a second or two, and can interrupt whenever they like. The assistant takes several calls at the same time, 5 on Standard and 10 on Pro, so a busy Saturday morning is covered up to that number of callers. Above it, the next caller hears that the lines are busy and is asked to try again in a few minutes.

On your website, the same assistant sits behind a voice button in the Asyntai chat widget. You switch it on on the Voice Agent page. A visitor who is reading a product page on a small screen can press the button and ask out loud instead of typing. The assistant answers from the same knowledge, uses the same monthly minutes, and the transcript goes into the chat with your other conversations. For a business, that means one set of answers to maintain, whichever way a customer gets in touch. Visitors who prefer to type keep using the chat as before, and you can switch the voice button off again on the same page.

A business voice assistant should know when to hand over. During your Escalate to Human hours, a caller who asks for a person is put through to the transfer number you set, for example the plant advice desk or your own mobile. The phone that rings shows the caller's own number. If nobody answers within 20 seconds, or the line is busy, the caller returns to the assistant, which apologizes and takes a callback request. Outside your hours, the callback request is the route: a name and a number, read back digit by digit and confirmed by the caller, sent to your escalation email. Phone numbers and email addresses that customers give can be saved as leads when lead collection is on.

The conversations also teach you something. Every phone call is stored in your dashboard with the full transcript, next to your website chats. After a few weeks you can see which questions come up again and again, which products people ask about before they visit, and where your website leaves them unsure. Each finding is a small fix: a clearer page, a new line in a price list, or one more AI Instruction. Read a few transcripts with the people who answer your phone today. They can tell you quickly which answers sound like your business and which need a better source.

The voice assistant is part of the Standard plan, at $139 a month with 200 voice minutes and 5 calls at the same time, and the Pro plan, at $449 a month with 1,500 voice minutes and 10 calls at the same time. Each answer counts as one AI reply on the plan, as in the website chat. Phone numbers and call minutes are billed by Twilio. When the month's minutes are used up, calls are declined with a short message until they reset, so choose the plan with some room. Test calls on the Voice Agent page do not use your minutes, so you can try as many questions as you like before you go live. The plan finder helps.

To find out whether it suits your business, talk to it. Add your website, write a greeting on the Voice Agent page, and make a free test call in the browser. Ask the questions your customers ask, in the way they ask them. The voice agent guide explains every setting, from the greeting to the voice button.

Let your customers talk to your business, any time they want to ask

Add your website, write a greeting and talk to your voice assistant in the browser. Then put it on your phone line, your website, or both.
