AI phone assistant for customer lines

An AI phone agent for the numbers you already own

Keep your phone numbers in your own Twilio account and let Asyntai pick them up. The agent answers customer calls, checks live data such as an order status through your API, puts callers through to your team, and handles several calls at once on a busy afternoon.

What an AI phone assistant takes off your team's plate

Most calls to a customer line follow a handful of patterns. The agent handles those patterns on its own, and routes the rest to people with the context already in the transcript.

Reads out live order status

With Custom Tools, the agent calls your own API when a caller gives an order number and reads back what your system returns: packed, shipped, out for delivery. You set it up in a form in the dashboard, pointing at an endpoint your system already has.

“Where's my order? It's 48213.”

Explains returns, delivery and warranty

Policy questions are answered from your website and the documents you upload, so the return window, the delivery options and the warranty terms on the call match the ones on your site.

“How long do I have to send a jacket back?”

Transfers the call to a person

A caller who asks for a person is put through to the transfer number you set for that line, during your escalation hours. Your phone shows the caller's own number, so your team knows who is on the line before they answer.

“I need to change my delivery address.”

Saves callbacks and leads

When a question needs your team, the agent takes the caller's name and a number, reads the number back digit by digit, and emails the request to your escalation address. Phone numbers and email addresses callers give can also be saved as leads.

“Can someone call me about a bulk order for our club?”
Your numbers, your account

The phone numbers stay in your own Twilio account

Asyntai connects to Twilio, a widely used cloud phone platform, with your Account SID and Auth Token. It lists the voice-capable numbers on your account, and you choose which of them the agent answers. Twilio bills the numbers and call minutes to you directly.

  • Import a number to put it on the agentPress Import next to a number and Asyntai sets its voice webhook, so the next call to that number reaches the agent.
  • Switch a number off at any timeA switched-off number declines calls with a short message. Remove a number and Asyntai clears its webhook, so you can point it somewhere else in Twilio.
  • Keep the number customers already dialForward your existing line to the Twilio number when nobody picks up or after hours, with the call forwarding most phone providers offer. Or publish the Twilio number as your line.

Busy afternoons

What happens when the phones get busy

A sale goes live, a delivery partner is late, and everyone calls at once. An AI phone agent should handle the rush in a predictable way. Here is how Asyntai handles lines, transfers and minutes.

  • Several calls at the same timeThe Standard plan answers 5 calls at once and the Pro plan 10. When every line is in use, a new caller hears that the lines are busy and is asked to call again in a few minutes.
  • A transfer nobody answersIf your team does not pick up within 20 seconds, or the line is busy, the caller comes back to the agent. It apologizes and takes a callback request.
  • Voice minutes for the monthStandard includes 200 voice minutes a month and Pro 1,500. When the month's minutes are used up, calls are declined with a short message until the minutes reset.

Connecting the line

Put your AI phone agent on a number in four steps

You need an Asyntai Standard plan or higher, a Twilio account with at least one voice-capable number, and the Account SID and Auth Token from the Twilio console. Connect a paid Twilio account; if you started on a trial, upgrade it first.

  1. Add your store website to Asyntai and upload your returns, delivery and warranty documents. Add a Custom Tool if your order system has an API.
  2. Write the greeting on the Voice Agent page and make a free test call in your browser. Give it a real order number and check the answer.
  3. On the Phone Calls page, paste your Account SID and Auth Token. Press Import next to each number the agent should answer.
  4. Set a transfer number for each line on the Phone Calls page, and your hours under Escalation. Then call each number from your own phone.
FAQ

AI phone agent: practical questions

The details store owners and support leads check before they put an AI on the customer line.

Do I buy phone numbers from Asyntai?

You buy numbers from Twilio, in your own Twilio account, and Twilio bills you for them and for the call minutes. Asyntai connects to that account and answers the numbers you import. If you change your mind later, the numbers are still yours in Twilio.

Which kind of Twilio account do I need?

A paid Twilio account. If you signed up on a trial, upgrade it first. Twilio may ask for business verification before you buy a number in some countries. Once the account has a voice-capable number, you can import it.

Can one account answer several numbers?

Yes. Asyntai lists every voice-capable number on your Twilio account, and you import the ones the agent should answer. Each imported number has its own transfer number, so a retail line and a wholesale line can go to different people.

What does my team see when a call is transferred?

The receiving phone shows the caller's own number. The full transcript of the conversation so far is in your Asyntai dashboard. Twilio bills the transferred part of the call as a normal outgoing call.

How many customers can call at once?

5 calls at the same time on the Standard plan and 10 on the Pro plan. A caller who rings while every line is in use hears that the lines are busy and is asked to call again in a few minutes.

What happens when the voice minutes run out?

Calls are declined with a short message until your minutes reset. Standard includes 200 voice minutes a month and Pro includes 1,500. If you need more than Pro, write to [email protected].

Can I pause the agent on one number?

Yes. Switch the number off and calls to it are declined with a short message, while your other numbers keep working. To hand a number back to another setup in Twilio, remove it, and Asyntai clears its webhook.

Can the agent check an order status during the call?

Yes, if your order system has an API. With Custom Tools you give Asyntai the endpoint and the details it should send, such as the order number. During the call the agent asks for the number, calls your endpoint and reads out the answer.

Running a customer line with an AI phone agent

Most writing about AI phone agents is about the voice: how natural it sounds, how fast it replies. Those things matter, but once the agent is live, the questions you deal with are about the line itself. Whose account are the numbers in? What happens when twenty people call during a sale? Where does a call go when the caller needs a person? This page is about those questions, because they decide whether an AI phone assistant makes your customer line calmer or just different.

Start with ownership. Asyntai answers numbers that live in your own Twilio account. You buy and keep the numbers in Twilio, Twilio bills you directly for the numbers and call minutes, and Asyntai connects with your Account SID and Auth Token. It lists the voice-capable numbers on the account, and when you press Import next to one, it sets that number's voice webhook so calls reach the agent. That arrangement keeps the phone side in your hands. If you add a seasonal number, remove an old one or move a number elsewhere, you do it in an account you control. To connect, you need an Asyntai Standard plan or higher and a paid Twilio account with at least one voice-capable number. In some countries Twilio asks for business verification before a new account can buy numbers, so it helps to start that step early.

Next comes the question of which number customers dial. Many stores already print a number on invoices, packaging and the contact page. You can keep it. Most phone providers offer call forwarding, so you can send calls from the existing line to the Twilio number when nobody answers, or after your opening hours. Your team still takes the calls it can, and the agent takes the rest. Or you can publish the Twilio number as the customer line and let the agent answer every call first.

On a normal day, many calls to an online store are about three things: where an order is, how returns work, and whether something is in stock or coming back. Returns and delivery are policy questions, and the agent answers them from your website and the documents you upload. Order status needs live data. If your order system has an API, a Custom Tool lets the agent ask the caller for the order number, call your endpoint, and read out the result. You set up the tool in a form in the Asyntai dashboard; your system only needs an endpoint that already returns the order data. An instruction in plain English makes the flow smoother: tell the agent to ask for the order number first, and to offer a transfer to your team when a caller has a problem with a delivery.

Busy days are where an AI phone agent proves itself. Your plan sets how many calls the agent answers at the same time: 5 on Standard and 10 on Pro. Within that limit, nobody waits for the first caller to finish. When every line is in use, the next caller hears that the lines are busy and is asked to call again in a few minutes. It is a clear message rather than endless ringing, and every caller within the limit talks to the agent from the first word.

Transfers deserve the same attention. Each imported number can have a transfer number, a desk phone or a mobile in international format. When a caller asks for a person during your escalation hours, the agent says it is putting them through. The phone that rings shows the caller's own number, so your team can see who it is. If nobody answers within 20 seconds, or the line is busy, the caller comes back to the agent, which apologizes and takes a callback request. Twilio bills the transferred leg as a normal outgoing call. Outside your hours, a caller who wants a person gets a callback request directly, with the number read back digit by digit and confirmed.

Then there are voice minutes. Standard includes 200 a month and Pro includes 1,500. Each answer the agent gives also counts as one AI reply on your plan, as it does in the website chat. When the month's minutes are used up, calls are declined with a short message until the minutes reset, so it is worth checking your call volume before you choose a plan. A simple way to size it: count the calls on your line in a normal month, multiply by the length of a typical call, and compare the total with the two allowances. Conversations through the voice button in your website chat use the same minutes, so include them if you plan to switch that on. For a breakdown of the monthly bill, see what an AI receptionist costs to run.

Finally, every call is saved as a conversation in your dashboard with the full transcript. That record is useful in two ways. When a transferred caller reaches your team, the conversation so far is already there. And over a month, the transcripts show you which questions your store pages leave open, which products people call about, and which calls really needed a person. Phone numbers and email addresses that callers give can also be saved as leads when lead collection is on, which suits wholesale or bulk-order enquiries that arrive by phone.

The Twilio voice setup guide covers each step in detail. In short: add your store website, write a greeting, test the agent in your browser with a real order number, connect Twilio, import the numbers, set the transfer numbers and hours, and call each line yourself. From then on your customer line answers every call it can, and hands the rest to your team.
