An assistant for the owner's phone

AI phone assistant for your business

Not every call to a small business needs the owner. Asyntai is an AI phone assistant that picks up first and answers what your own content covers. You get only what matters: a transfer in the hours you choose, a callback request with a confirmed number, a saved lead, and a transcript of each call.

Sorting the calls

Every call to your business ends up in one of four places

A phone assistant earns its keep by deciding what reaches you. Here is where a call goes once the AI has answered it.

Settled on the call

Delivery areas, opening days, prices you publish, how to order. The AI answers from your website, your files and your AI Instructions, and the call ends there. You can read the transcript later if you want.

“Do you deliver to Riverside Hospital?”

Put through to you

The calls you want to take yourself, such as a problem with today's order. During your Escalate to Human hours the AI transfers the caller to your number, and your screen shows who is calling.

“The bouquet for this morning has not arrived.”

Waiting in your inbox

A caller who wants you when you are not available leaves a callback request. The AI takes the name and number, says the number back one digit at a time, and emails the request once the caller confirms it.

“Can Nora call me tomorrow about Friday?”

Saved as a lead

New business, such as a wedding or a corporate order. With lead collection on, the phone number or email address the caller gives is saved as a lead, next to the transcript of what they asked for.

“We need flowers for 80 wedding guests in June.”
Your brief

Tell the assistant which calls are worth your time

An assistant works only as well as its brief. With Asyntai the brief is your website, a few files and AI Instructions in plain English, including a line or two on the calls you want to take yourself.

  • Your website for the everyday answersProducts, delivery areas, opening days, how to order. Asyntai reads the site page by page.
  • Files for the detailsA price list, delivery cut-off times, an events brochure. Upload a PDF file or paste the text.
  • AI Instructions for your filterWhich calls the AI offers to put through to you, which become callback requests, and what it never quotes on the phone. A change applies from the next call.

Your hours, your rules

Your phone rings only in the hours you choose

Under Escalate to Human you set when calls may reach you. Inside those hours, the AI transfers the callers who need you. Outside them, it collects the details and leaves your evening alone.

  • Inside your hours: a transferThe AI tells the caller it is putting them through. Your transfer number rings, with the caller's own number on the screen.
  • A transfer you miss comes backNo answer within 20 seconds, or a busy line, and the caller returns to the AI. It apologizes and takes a callback request.
  • Outside your hours: a callback requestA caller who asks for you leaves a name and a confirmed number, and the request goes to your escalation email.

Setup

Give your business phone an assistant

You need the Asyntai Standard plan or higher and a Twilio account with a voice-capable number. Twilio bills that number and the call minutes to you directly.

  1. Create an Asyntai account and add your website. The pages are read in a few minutes. Upload your price list and delivery details.
  2. Write AI Instructions for your filter, then write the greeting on the Voice Agent page and make a free test call in the browser.
  3. On the Phone Calls page, paste your Twilio Account SID and Auth Token and import the number. Publish it as your business line, or forward your current line to it.
  4. Add your transfer number and set your hours under Escalation. If your own mobile forwards to the Twilio number and also takes transfers, set its no-answer delay above 20 seconds, or use another phone for transfers.

FAQ

AI phone assistant for business: owner questions

What owners ask before an AI takes the first ring on their business phone.

What does an AI phone assistant do for a business owner?

It answers your business phone before you do. Routine questions get an answer from your website, files and AI Instructions. Callers who need you are put through during your hours. The rest reach you as callback requests, leads and transcripts that you read when you have time.

Which calls still ring on my own phone?

The transfers, and only during the hours you set under Escalate to Human. A caller is transferred when they ask for a person, or when they accept a transfer that your AI Instructions tell the assistant to offer, for example for a late order.

Can I keep the business number my customers know?

Yes. Forward calls from it to the number in your Twilio account, for example when you do not answer, with the call forwarding most phone providers offer. If that phone is your own mobile and it is also your transfer number, set the no-answer delay above 20 seconds, or transfer to another phone.

How do I find out about the calls I did not take?

Callback requests arrive at your escalation email with the caller's name and a number the caller confirmed. Every call, including the ones the AI settled alone, is in your dashboard with the full transcript. Numbers and email addresses callers give can be saved as leads.

Can it answer two customers while I am on a call?

Yes. The Standard plan answers 2 calls at the same time, and Pro answers 5. When every line is in use, the next caller hears that the lines are busy and is asked to call again in a few minutes.

What if I cannot pick up a call it transfers to me?

After 20 seconds without an answer, or if your line is busy, the caller goes back to the AI. It apologizes and asks for a name and a number for a callback request, so the caller is not left hanging.

Will my customers know it is an AI?

Yes. Each call opens with the assistant saying it is an AI assistant, followed by your greeting. A customer who wants you can ask for you at any point in the call.

What does an AI phone answering assistant cost?

It comes with the Standard plan, $139 a month with 200 voice minutes, and the Pro plan, $449 a month with 1,500 voice minutes. Each answer on a call counts as one AI reply on the plan. Twilio bills the phone number and call minutes on your own account.

An AI assistant for phone calls that works for you, not just for your callers

When you run a small business, the phone rings for everything. A supplier confirms a delivery, a customer asks if you open on Mondays, someone compares prices, a regular has a real problem. Every ring asks you to stop what you are doing. An AI phone assistant changes the order of events: it picks up first, and only some calls go on to you. Asyntai does this job on your business phone, and this page explains how it decides what reaches you and what waits.

Picture a florist who runs her shop with one part-time helper. Mornings go to conditioning stems and building the day's orders; afternoons go to deliveries. The phone rings through all of it. Many calls ask what her website already says: the delivery zones, the cut-off for same-day orders, whether the shop opens on Mondays. Some calls are new business, such as a couple planning a wedding. A few need her at once: a delivery that has not arrived, a hospital ward that will not accept flowers. With an AI phone assistant, the first group stops at the assistant, the second waits in a tidy list, and the third rings through.

To sort calls well, the assistant must know your business. Asyntai reads your website page by page and the files you upload, such as a price list or a note on delivery zones. It follows AI Instructions that you write in plain English, and those instructions are where you draw your filter. One line can say: if an order for today is late, offer to put the caller through. Another can say: for weddings, ask for the date and a phone number, and do not quote a price. The assistant does not make up prices or policies. If a question goes past your content, it offers a callback request. When you change a file or an instruction, the next call uses it; when a page on your site changes, have Asyntai read that page again.

The calls that need you arrive as transfers. You set the hours under Escalate to Human and give the line one transfer number, such as your mobile or the shop phone. Inside those hours, when a caller asks for you, or accepts a transfer that your instructions tell the assistant to offer, it says it is putting them through. Your screen shows the caller's own number, so you know who it is before you say hello. If your hands are in a bucket of roses and you do not answer within 20 seconds, or you are on another call, the caller goes back to the assistant. It apologizes and takes a callback request. Twilio bills the transferred part of the call as a normal outgoing call.

Everything else waits for you in order. A callback request carries the caller's name and a number that the assistant repeated one digit at a time until the caller confirmed it, and it lands in your escalation email. A phone number or email address that a new customer gives can be saved as a lead when lead collection is on. Every call, including the ones the assistant handled alone, is in the dashboard with the full transcript. At the end of the day you read a short list, instead of returning a dozen calls to find out what each person wanted. After your hours, a caller who asks for you goes straight to a callback request, so the evening stays yours.

You decide how calls reach the assistant. It answers a number in your own Twilio account, which you import on the Phone Calls page after you paste the Account SID and Auth Token. Twilio bills that number and the call minutes to you. One option is to publish the Twilio number as your business line: the assistant then takes every call first and transfers to your mobile in your hours. The other is to keep your current number and forward only the calls you do not pick up. If the forwarded phone is your own mobile and it is also the transfer number, set the no-answer delay above 20 seconds, or use another phone for transfers, so a transfer you miss comes back to the assistant instead of looping.

A good assistant also keeps callers from waiting while you are busy on the line. Standard answers 2 calls at the same time and Pro answers 5. When every line is in use, the next caller hears that the lines are busy and is asked to call again in a few minutes. Standard costs $139 a month with 200 voice minutes; Pro costs $449 a month and includes 1,500. Each answer on a call counts as one AI reply on the plan, and when the month's minutes run out, calls are declined with a short message until the minutes reset. The plan finder suggests a plan for your call volume. To weigh an assistant like this against a staffed service, read the answering service guide; for a full front-desk setup, see the AI receptionist page.

Test it the way you would test a new hire: on your own calls. Add your website, upload your price list, write the instructions that say which calls you want, and make a free test call in the browser. Play three callers: one with a simple question, one with new business, one with an urgent problem. Check what the assistant says to each, and where each call would end. Then connect the number and set your hours. From that day, the calls that need you ring through, and the rest arrive as answers, leads and callback requests that you can read when the work is done.
