Automated phone answering service

AI call answering that talks with the caller instead of playing a message

An automatic answer used to mean a recording, or a list of keys to press. With Asyntai, the automatic answer is a conversation. The AI picks up on your number, hears what the caller needs in their own words, and answers from your website and documents, or passes the call to a person on your team.

What a caller gets from an automatic answer

Automated answering is only worth it if the caller hangs up better off than they called. This is the call from the caller's side, from the first words to the end.

An honest first sentence

The AI says that it is an AI assistant, then says your greeting. The caller knows straight away what is on the line, and can begin with the question they rang about.

“Thanks for calling Cedar Lane Movers. Tell me about your move.”

Ordinary speech, both ways

The caller explains in their own words and hears the reply within a second or two. If the AI has misunderstood, the caller can cut in mid-answer, as with a person, and the AI follows the correction.

“Sorry, it's a three-bedroom house, not a flat.”

Answers that belong to your business

Replies come from your website, the documents you upload and the AI Instructions you write. The AI does not invent prices or policies. If the caller asks about something you have not covered, it offers a callback request.

“Do you bring the boxes, or do I buy them?”

A clear ending to every call

Each call ends in an answer, a transfer to your team during your hours, or a callback request with a number the caller has confirmed. A phone number or email address the caller gives can be saved as a lead.

“Could the estimator call me tomorrow?”
Three kinds of automatic answer

Recorded greeting, keypad menu, AI call answering

All three pick up without a person. They differ in what the caller can do next. Here they are side by side, one point at a time.

Which calls are automated

You decide which calls the AI answers

The AI answers every call that reaches the Twilio number you import. Which calls get there is a choice you make with your phone line, and you can change it later.

  • All callsPublish the Twilio number as your business number. The AI answers each caller first, and passes people to your team when they ask.
  • Calls nobody picks up, or busy callsKeep your current number and set your phone provider's call forwarding to the Twilio number on no answer and on busy. Your staff take the calls they can.
  • Calls outside your opening hoursIf your provider can forward on a schedule, send calls to the Twilio number after hours only. You can change the schedule at any time.

Setting it up

Switch on automated answering for your number

The AI answers a phone number that you hold in your own Twilio account. Twilio charges you for that number and its call minutes. Asyntai connects with the Account SID and Auth Token, and needs a Standard plan or higher.

  1. Create an Asyntai account and add your website. Upload a price guide or a list of what you move, and write AI Instructions, for example that full quotes come from the estimator.
  2. Write the greeting on the Voice Agent page and make a free test call in the browser. Play the caller: ask, interrupt, ask for a person.
  3. Connect Twilio on the Phone Calls page and press Import next to the number that will be answered automatically.
  4. Add a transfer number next to the number, and set your hours under Escalation. Then publish the number or set your forwarding, and call it yourself.
FAQ

AI call answering: how the automation works

Short answers about automatic answering, from the caller's first word to the transcript.

What is AI call answering?

It is an automatic answer on your phone number that holds a spoken conversation. The AI picks up, says that it is an AI assistant, says your greeting, listens to the caller, and answers from your content. When a person is needed, it transfers the call during your hours or takes a callback request.

How is it different from an automated phone answering service with a recording?

A recording speaks and then waits for a message. AI call answering listens and replies, so the caller gets the answer during the call instead of later. The result is also different: you get a full transcript of each conversation, and a callback request with a confirmed number when one is needed.

Can the AI answer all our calls, or only some of them?

Either. It answers every call that reaches the Twilio number you import. Publish that number and it answers all calls. Keep your current number and forward to it on no answer, on busy, or after hours, and it answers only those calls.

Can a caller ask more than one thing in the same call?

Yes. The call is a conversation, so the caller can ask a follow-up, change the subject or correct a detail. They can also interrupt the AI at any time, and it listens to the new question.

What does the caller get when the answer is not in our content?

A callback request. The AI asks for the caller's name and the number to call back on, says the number back digit by digit, and asks the caller to confirm it. The request goes to your escalation email, with the transcript in your dashboard.

How do I stop it from guessing at a quote?

Write it in the AI Instructions, for example: do not give a price for a full move; offer a visit from the estimator and take a callback request. The AI follows the instruction on every call. It also answers prices only from your own content, never from general knowledge.

Is there a limit to how many calls it answers?

Standard answers 5 calls at the same time and includes 200 voice minutes a month. Pro answers 10 at once and includes 1,500 minutes. Above the line limit, a caller hears that the lines are busy and is asked to call again in a few minutes. When the month's minutes are used up, calls are declined with a short message until they reset.

Can I hear the automated answer before my customers do?

Yes. On the Voice Agent page you can make a free test call in the browser, before any phone number is connected. After you import your number, call it from your own phone and try the transfer too.

What do I receive after each call?

Every call is stored as a conversation in your dashboard with the full transcript. Callback requests arrive at your escalation email, and phone numbers or email addresses that callers give can be saved as leads when lead collection is on.

What automated phone answering means when an AI picks up

For a long time, an automated phone answering service meant one of two things. Either a recording played and asked the caller to leave a message, or a menu read out options and waited for a key. Both are automatic, and both are cheap to run. Neither of them talks with the caller. AI call answering keeps the automatic part, the phone is picked up without anyone on your team lifting a receiver, and changes everything that happens after that.

On an Asyntai call, the first thing the caller hears is the AI saying that it is an AI assistant, followed by your greeting. From then on, it works like a phone conversation. The caller says what they need, in their own words, and hears the reply within a second or two. If the reply goes in the wrong direction, the caller can interrupt, the way they would interrupt a person, and the AI listens to the correction. There are no options to memorise and no key that almost fits.

The automation is only as good as what it can say, so the next question is where the answers come from. Asyntai reads your website page by page, adds the documents you upload as PDF files or pasted text, and follows the AI Instructions you write in plain English. If your price guide says packing materials are included in a full-service move, that is what the caller hears. The AI does not invent prices or policies. When a caller asks something your content does not cover, it offers a callback request instead of guessing.

Take a moving company as an example. Its phone rings with the same handful of questions: do you move pianos, how far ahead should I book the end of the month, do you supply boxes, do you store furniture between moves. The answers sit on the website and in a short price guide, so the AI gives them straight away. A request for a full quote is different, because it depends on the inventory and the access at both addresses. One AI Instruction covers it: do not give a price for a full move; offer a visit from the estimator and take a callback request. A customer whose move is in progress and who asks for the crew is transferred to dispatch during working hours.

You decide which calls are automated. The AI answers every call that reaches the Twilio number you import. Make that number your business line and every call is answered automatically. Or keep the number your customers already know, and use the call forwarding most phone providers offer: forward when nobody answers, when the line is busy, or after hours. Your team then answers first, and the AI answers the rest. If your main goal is cover for evenings and overflow, the AI answering service page describes that set-up in detail. This page is about the automatic answer itself, wherever you put it. You can start with one route and move to another later; the change is made with your phone provider, and nothing changes in Asyntai.

An automated answer must also know when to step aside. During your Escalate to Human hours, a caller who asks for a person is put through to the transfer number you set for that line, and the phone that rings shows the caller's own number. If nobody picks up within 20 seconds, or the line is busy, the caller returns to the AI, which apologizes and takes a callback request. Outside your hours, the callback request is the route. The AI asks for a name and a number, says the number back digit by digit, and asks the caller to confirm it, so a misheard digit does not lose you the customer. The request is sent to your escalation email.

The limits are simple. Phone calls come with the Standard plan ($139 a month) and the Pro plan ($449 a month). Standard answers 5 calls at the same time and includes 200 voice minutes a month; Pro answers 10 at once and includes 1,500. Each answer the AI gives counts as one AI reply on the plan. When every line is in use, the next caller hears that the lines are busy and is asked to call again in a few minutes. When the month's minutes run out, calls are declined with a short message until they reset. Twilio bills the number and the call minutes on your own Twilio account. The plan finder helps you choose between the two plans.

Automatic answering also leaves something behind that a recording never did: a transcript. Every call is stored as a conversation in your dashboard, so you can read what each caller asked and what they were told. Phone numbers and email addresses that callers give can be saved as leads when lead collection is on. Over a few weeks, the transcripts show which questions your content answers well and which ones need a better page. To fix an answer, update the document, or have Asyntai read the changed page again. Uploaded documents and AI Instructions take effect on the next call.

The quickest way to judge AI call answering is to be the caller. Add your website, write a greeting on the Voice Agent page, and make a free test call in the browser. Ask what your customers ask, interrupt the AI, ask for a person. Test calls in the browser do not use your voice minutes. When it sounds right, connect your Twilio account, import the number, and decide which calls should reach it. The Twilio voice guide shows each step.
