Human VA or AI assistant

Virtual phone assistant: a person or AI?

A search for a virtual phone assistant often comes down to one choice: hire a remote person to take your calls, or let an AI pick up. Both are real options, and they suit different jobs. Asyntai is the AI option, and it can pass callers to you or to your human assistant during the hours you set.

Two kinds of virtual assistant

What a human virtual assistant and an AI assistant each bring

Both take your calls from outside your office. They do it in different ways, so start with what each one is and how it is arranged.

A human virtual assistant

A person who works for you remotely, as a freelancer or as staff of an agency. Callers talk to a person, and the same assistant can take on other work you agree, such as your inbox or your schedule.

“Good morning, this is Mia at Leah's studio.”

How a human arrangement is set

Hours, tasks and billing are what you agree with the freelancer or the agency, for example by the hour or as a monthly package. The assistant works from the notes, scripts and access you give them.

“Mia covers the phone from 9 to 1, Monday to Thursday.”

An AI virtual phone assistant

Asyntai answers a number in your own Twilio account. It says it is an AI, then your greeting, and answers from your website, your files and your AI Instructions whenever the line is called.

“Do you take on single-room projects?”

Using both together

The AI picks up first and settles the routine questions. During the hours you set, it passes callers who need a person to you or to your human assistant, whose time then goes to the calls that need a person.

“I'm putting you through to Mia now.”
The briefing

Briefing a person, and briefing the AI

Any assistant must learn your business. A human assistant learns from your notes and from experience. The AI works from material you hand it, and a change you make reaches the next call.

  • Your website as the first lessonServices, the areas you work in, the design process, how to start a project. Asyntai reads the site page by page.
  • The files your assistant would getA fee guide, a description of your process, the contacts for current projects. Upload a PDF file or paste the text.
  • AI Instructions for the judgment callsWho handles which caller, what the AI offers to transfer, and what it never quotes. Write them in plain English, as you would brief a new assistant.

Where each fits

The AI answers first, and your assistant takes the calls that need a person

You do not have to pick one. Put the AI on the line, and make your human assistant the transfer number during the hours they work for you.

  • Routine questions stay with the AIFees, process, areas, opening days. Answered from your content at any hour, so your assistant's time goes elsewhere.
  • Calls for a person ring your assistantIn the hours you set under Escalate to Human, a caller who asks for a person rings the transfer number, which shows the caller's own number.
  • The rest become callback requestsOutside those hours, or when a transfer is not answered within 20 seconds, the AI takes a name and a confirmed number and emails the request.

Setup

Add an AI virtual phone assistant to your line

You need the Asyntai Standard plan or higher and a Twilio account with a voice-capable number. Twilio bills the number and call minutes to you. Your human assistant needs only a phone that can take the transfers.

  1. Create an Asyntai account and add your website. The pages are read in a few minutes. Upload the fee guide and anything else you would give a new assistant.
  2. Write the greeting on the Voice Agent page and make a free test call in the browser. Ask what new clients ask, then ask for a person.
  3. On the Phone Calls page, paste your Twilio Account SID and Auth Token and import the number. Forward your current line to it, or publish it as your number.
  4. Enter your assistant's phone as the transfer number, in international format, and set their working hours under Escalation. Then call in as a client would.

FAQ

Virtual phone assistant: questions before you decide

For owners who weigh a remote person, an AI, or both on their business phone.

What is a virtual phone assistant?

It is someone, or something, that answers your business calls from outside your office. It can be a human virtual assistant who works remotely, as a freelancer or through an agency, or an AI phone assistant such as Asyntai that answers your number with software.

Should I hire a human virtual assistant or use AI for my calls?

Look at the calls. A person suits work that builds a relationship over time and tasks beyond the phone. The AI suits the first answer on each call, routine questions, evenings and moments when several people call at once. You can also combine them, with the AI first and your assistant as the transfer number.

Can the AI put callers through to my human assistant?

Yes. Enter your assistant's phone as the transfer number of the line, in international format, and set their working hours under Escalate to Human. In those hours, a caller who asks for a person is put through, and your assistant sees the caller's own number.

What happens when my assistant is offline or does not pick up?

Outside the hours you set, a caller who asks for a person leaves a callback request. Inside them, if the transfer is not answered within 20 seconds or the line is busy, the caller returns to the AI, which apologizes and takes a callback request.

Will callers know they are talking to an AI?

Yes. The AI says it is an AI assistant at the start of every call, and then gives your greeting. Callers can ask for a person at any time.

How does the AI learn about my business?

It reads your website page by page, uses the files you upload, and follows your AI Instructions. When you edit a file or an instruction, the next call uses the change. When a page on your website changes, have Asyntai read that page again.

Can I keep my current business number?

Yes. The AI answers a number in your own Twilio account. Forward calls from your current number to it, for example when nobody answers, with the call forwarding most phone providers offer. Or publish the Twilio number as your business line.

How is the AI virtual phone assistant billed?

As a monthly plan. Standard is $139 a month with 200 voice minutes, and Pro is $449 a month with 1,500 voice minutes. Each answer on a call counts as one AI reply. Twilio bills the phone number and the call minutes on your own account.

A virtual phone assistant: when a person fits, when AI fits, and how to use both

People who search for a virtual phone assistant are usually close to a decision. There are too many calls to take while doing the work, and an employee in the office feels like too big a step. Two answers come up. One is a human virtual assistant: a person who works remotely, as a freelancer or through an agency, and takes your calls among other tasks. The other is an AI virtual phone assistant, software that answers your number. Asyntai is the second kind. This page compares the two in neutral terms and shows where each fits, including how they work together.

A human virtual assistant brings a person to the call. Callers talk to someone who can chat, use judgment and remember them from last week. The same person can help with more than the phone, such as your inbox, your schedule or client follow-ups, if that is what you agree. The terms come from the arrangement: the hours they cover, how they reach you, and how they bill, for example by the hour or as a monthly package. Those terms differ from one freelancer or agency to the next, so ask each one for theirs.

An AI virtual phone assistant is set up in another way. Asyntai answers a number in your own Twilio account, which you connect on the Phone Calls page with the Account SID and Auth Token. Each call opens with the assistant saying it is an AI assistant, then your greeting. It replies within a second or two, and the caller can interrupt it as they would a person. It answers from your website, which it reads page by page, from files you upload and from AI Instructions you write in plain English. It does not invent prices or policies; when your content does not cover a question, it offers a callback request. Standard answers 2 calls at the same time and Pro answers 5.

Take an interior design studio run by one designer, with a virtual assistant who works four mornings a week. Calls come in all day. New clients ask whether the studio takes on single rooms, what a first consultation costs and which towns it covers. Contractors on current projects ask who to speak to about a delivery. Existing clients want the designer. The first group is answered from the studio's website and fee guide, so the AI can take those calls at any hour. Contractors and clients need a person, and during the assistant's working mornings the AI puts them through to her. In the afternoons and evenings, those callers leave a callback request instead.

That hand-off is set per phone line. Each imported number has one transfer number, an office line or a mobile in international format, and it can be your own phone or your assistant's. With Escalate to Human on, transfers happen only in the hours you set there, so you can match them to the hours your assistant works. When a caller asks for a person in those hours, the AI says it is putting them through, and the phone that rings shows the caller's own number. With no answer within 20 seconds, or on a busy line, the caller returns to the AI, which apologizes and takes a callback request. Twilio bills the transferred part as a normal outgoing call.

Callback requests are taken with care. The AI asks for the caller's name and the number to call, reads the number back digit by digit, and waits for the caller to confirm it. The request then goes to the escalation email you set. Every call is in your dashboard with the full transcript, so whoever returns the call, you or your assistant, can see what the caller asked before dialing. A phone number or email address that a caller gives can be saved as a lead when lead collection is on, which suits new project inquiries.

Billing differs too. A human assistant bills as you agree with them. Asyntai is a monthly plan with included voice minutes: Standard is $139 a month with 200 minutes, Pro is $449 a month with 1,500, and each answer on a call counts as one AI reply. Twilio bills the number and the call minutes on your own account. When the month's minutes are used up, calls are declined with a short message until the minutes reset, so choose a plan with some room; the pricing page shows the minutes of each plan. To keep the number your clients already know, forward calls from it to the Twilio number, for example when nobody answers.

So where does each fit? A human virtual assistant fits work that needs a person over time: building a relationship, following up, handling tasks beyond the phone. An AI virtual phone assistant fits the first answer on every call, the routine questions, the evening, and the moment when two people call at once. You can run the AI alone, a human assistant alone, or both, with the AI as the first voice and your assistant as the transfer number. To compare a full front-desk setup, see the AI receptionist page; the answering service guide covers staffed services.

Start with a test call. Add your website and fee guide, write a greeting on the Voice Agent page, and talk to the assistant in the browser. Ask what a new client asks, then ask for a person. Show the transcript to your human assistant and agree which calls they want to receive. Then import the number, enter their phone as the transfer number, and set their hours.

Let the AI answer first, and your people take what needs a person

Add your website, talk to the assistant in your browser, and set your assistant's phone as the transfer number when the answers sound right.
