AI receptionist software, checked point by point
A demo call can make any product sound good. What decides whether AI receptionist software works for you is underneath: where its answers come from, how it hands calls to people, what it records, how it counts usage and how it connects to your phone line. This page goes through those points and shows how Asyntai handles each one.
Four capabilities to confirm before anything else
Features lists are long. These four decide whether callers get a correct answer and whether your team gets the call when it matters.
A knowledge source you control
Ask where answers come from and how you correct them. Asyntai answers from your website, crawled page by page, plus uploaded PDF files, pasted text and rules written in plain English. Edit a rule or a document, or crawl a changed page again, and the next call uses the new version.
“What is your return policy for sofas?”
Access to live data when you need it
Static content covers most questions; order status or stock does not sit on a web page. With Custom Tools, on Standard and up, the agent can query your own system during the call, provided that system has an API.
“Where is my order 48213?”
A clean hand-off to people
Each imported number takes a transfer number. During escalation hours the agent announces the transfer and connects the call; the receiving phone sees the caller's own number. No answer in 20 seconds, or a busy line, and the call returns to the agent for a callback request.
“I'd like to speak to customer service.”
Records your team can work from
Every call becomes a dashboard conversation with the full transcript. Callback requests carry a number the caller confirmed after a digit-by-digit read-back, and go to your escalation email. With lead collection on, numbers and emails become leads.
“Yes, that number is right.”
What you configure, and where
Good software keeps configuration close to content you already maintain. Asyntai's voice agent shares its knowledge base and AI Instructions with the website chat, so one update serves both channels.
- Knowledge baseWebsite pages, product and policy documents, pasted text. Content can be in any language; calls are answered in English.
- AI InstructionsPlain-English rules: tone, topics to avoid, when to transfer, what to say when content is missing.
- Custom ToolsOptional API lookups into your own system, for data that changes by the hour.
Know how the software behaves at its limits
Every voice product has capacity limits. The useful question is what the caller experiences when one is reached, and whether that behavior is documented.
- Concurrent calls5 at the same time on Standard, 10 on Pro. Beyond that, a new caller hears that the lines are busy and is asked to call again in a few minutes.
- Monthly minutes200 on Standard, 1,500 on Pro. When they are used up, calls are declined with a short message until the minutes reset.
- Switching a number offTurn a number off and calls are declined with a short message. Remove it and Asyntai clears its webhook.
What implementation of the AI receptionist software involves
The phone layer is your own Twilio account: you own the numbers and Twilio bills you for them and for minutes. Asyntai needs the Account SID and Auth Token, lists your voice-capable numbers and sets the voice webhook on the ones you import.
- Create the account and add your website. Pages are read in a few minutes; upload documents alongside.
- Configure the Voice Agent page: greeting, then a free test call in the browser to check answers before any phone number is involved.
- Connect Twilio on the Phone Calls page and press Import next to each number the agent should answer.
- Set transfer numbers and escalation hours, then place a real call to the number and review the transcript in the dashboard.

AI receptionist software: evaluation questions
What operations, support and IT leads ask when they put AI receptionist software through a trial.
What does the software need from our side?
An Asyntai Standard plan or higher, a Twilio account with at least one voice-capable number, and that account's Account SID and Auth Token. A Twilio trial account cannot be used, and Twilio may ask for business verification before you buy a number.
Do we have to configure webhooks or call flows?
No manual webhook work is needed. When you press Import next to a number on the Phone Calls page, Asyntai sets that number's voice webhook. Call handling is configured with your greeting, your AI Instructions and your escalation settings.
Can the agent look up orders or bookings in our system?
If your system has an API, Custom Tools let the agent query it during a call, for example to read an order status. Custom Tools are available on the Standard plan and up. The answer the caller hears comes from your system's response.
How do we evaluate answer quality before going live?
Make free test calls in the browser from the Voice Agent page. Ask the questions your real callers ask, check the transcripts, then fix gaps in your content or AI Instructions and test again. No phone number is needed for this.
What do I get after each call?
A conversation in your dashboard with the full transcript. If the caller gave a phone number or an email address, it can be saved as a lead. If the caller asked for a person outside your hours, the callback request is in your inbox.
How is usage billed?
Your plan includes monthly voice minutes (200 on Standard, 1,500 on Pro), and each answer the agent gives on a call counts as one AI reply. Twilio bills the number, the call minutes and any transferred leg on your own account. For more minutes than Pro, contact [email protected].
Can we run several numbers?
Yes. The Phone Calls page lists the voice-capable numbers on your Twilio account, and you import each one you want answered. Each imported number has its own transfer number, and any number can be switched off or removed.
Where is the technical documentation?
The Voice Agent documentation covers the agent settings, and the Twilio voice guide covers connecting numbers, transfers and callbacks.
How to choose AI receptionist software without being swayed by the demo
Buying AI receptionist software is unusual in one way: the product's best moment is the first one you see. A demo call with a polished voice answering a scripted question is impressive, and nearly every product in the category can produce one. The differences show up later, when real callers ask unscripted questions, when a call needs a person, and when the monthly invoice arrives. A good evaluation looks past the demo and asks how the software behaves in those moments.
Start with the knowledge source. An AI receptionist can only answer correctly if it works from correct information, so you need to know exactly where its answers come from and how quickly you can change them. Asyntai answers from your website, which it crawls page by page, from documents you upload as PDF or paste as text, and from AI Instructions you write in plain English. It does not invent prices or policies. When a question falls outside that content, the agent offers a callback request. In a trial, ask questions you know are not covered, and listen to what happens. Then add a rule, such as a phrase to avoid or a topic to pass to your team, and call again to hear the change.
Next, look at live data. Many calls are about something specific to the caller: an order, a booking, a delivery. That information sits in your own systems, not on your website. Asyntai's Custom Tools, on the Standard plan and above, let the agent call your system's API during the conversation and answer from the response. If your system has an API, test a lookup during the evaluation; it is often the feature that turns an answering tool into a useful one for an online store or a service business.
Then test the hand-off, because it is where callers judge the whole experience. With Asyntai, each imported number has a transfer number, either an office line or a mobile. With Escalate to Human turned on, a caller who asks for a person during your escalation hours is told they are being put through and is connected. The receiving phone shows the caller's own number. If nobody answers within 20 seconds, or the line is busy, the caller returns to the agent, which apologizes and takes a callback request. Outside escalation hours, the callback request is offered straight away.
Look closely at what reaches your team afterwards. A callback request in Asyntai contains the caller's name and a number the agent has read back digit by digit and the caller has confirmed. It goes to your escalation email, the same route your website chat uses for escalations. Every call is also stored as a conversation in your dashboard with the full transcript.
Capacity is the next question, and it is often left until too late. Ask how many calls the software answers at the same moment and what a caller hears when that limit is reached. Asyntai answers 5 calls at once on Standard and 10 on Pro. Beyond that, a new caller hears that the lines are busy and is asked to call again in a few minutes. Ask the same about monthly usage. Standard includes 200 voice minutes and Pro includes 1,500; when the minutes run out, calls are declined with a short message until they reset. Knowing this in advance lets you pick the right plan instead of discovering the limit during a busy week.
Telephony is the part that is easiest to overlook. Some software rents you a number; Asyntai works with numbers in your own Twilio account. You keep ownership of the numbers, Twilio bills you directly for them and for call minutes, and you can switch a number off or remove it from Asyntai at any time. Setup is a short sequence: paste your Account SID and Auth Token on the Phone Calls page, press Import next to a number, and Asyntai sets the webhook. If customers know your current number, forward calls to the Twilio number on no answer or after hours.
Three smaller points complete the list. First, language: calls are answered in English, while the knowledge base can be in any language, and the agent answers from it in English. If your callers need another language, ask at [email protected] before you commit. Second, disclosure: at the start of every call, the agent says it is an AI assistant and then gives your greeting. Check how each product you evaluate handles this, because callers expect to know who they are talking to. Third, reach beyond the phone: in Asyntai, a voice button can be added to the website chat widget, so visitors talk to the same agent, with the same knowledge and minutes, and the transcript goes into the chat history.
Finally, run the trial the way your callers will. Add your website, write a greeting, and make free test calls in the browser before any number is connected. Ask about returns, delivery, opening hours and the questions your team hears every day. Read the transcripts, adjust the content and the instructions, and call again. When the answers are right, import a number and place a real call. The Twilio voice documentation lists each step, and the checklist above gives you the questions to put to every vendor on your shortlist.
