If a transfer is not answered within 20 seconds, the line is busy, or the call comes outside your hours, the agent takes a callback request. It asks for a name and a number, confirms the number digit by digit, and emails the request to your escalation address.

Put the AI agent in front of your inbound lines

The agent answers numbers in your own Twilio account, which Twilio bills directly. You can publish a Twilio number as a line, or forward an existing line to it with your phone provider's call forwarding, for example when your agents do not answer or after hours.

Where does the AI agent sit in our call flow?

In front of your human agents. Calls to an imported Twilio number reach the AI first. You can also keep your existing line and forward calls to the Twilio number when agents do not answer, when the line is busy, or after hours. Calls the AI cannot finish go to people as a transfer or a callback request.

Can each line route to a different team?

Yes. Each imported number has its own transfer number, so a sales line, a support line and a claims line can each reach their own team. Transfers happen during your Escalate to Human hours.

How does a human agent get the context of a transferred call?

The receiving phone shows the caller's own number, and the conversation so far is saved with its full transcript in the Asyntai dashboard. The agent who picks up can open it while the caller explains the rest.

How many calls can it handle during a peak?

A policy changed this morning. How do we update the agent?

Upload the new document or edit the AI Instructions, and the next call uses the change. If the change is on your website, have Asyntai read the changed page again. For a short-lived notice, an AI Instruction is the fastest route; delete it when the notice ends.

Can it look up a booking, an order or a ticket?

Yes, if your system has an API. With Custom Tools you describe the lookup and the details the agent should send, such as a reference number. During the call the agent asks for that number and reads out what your system returns.

Which language does it speak to callers?

Calls are answered in English. Your knowledge base can be written in any language, and the agent answers from it in English. For other languages on calls, write to [email protected].

Running an AI call center agent on the first line

Every inbound contact center has a first line, and that is where the volume sits. Callers want to know a fee, check a booking, change a detail or reach somebody who can decide something. Some of those calls need an experienced agent. Others need only a fact that your help center already states. An AI call center agent is built for that first layer: it picks up, sorts out what it can, and hands the rest to your people with the context attached.

The quality of the first line depends on the quality of the answers, so start with what the AI agent knows. Status questions are the second big group, and they need live data. Where is my order? Is my booking still on? Has my case moved? With Custom Tools, available on the Standard plan and higher, the agent can call your own system's API during the conversation. You describe the lookup in the dashboard: which endpoint, and which detail to send, such as a confirmation number. On the call, the agent asks for the number, runs the lookup, and reads back the answer in plain words. Nothing about the lookup is specific to one vendor; if your system has an API, the agent can use it.

Then comes routing. If your lines belong to different teams, the AI agent follows the same split. Each Twilio number you import has its own transfer number. A reservations line can transfer to the reservations desk, a claims line to the claims team, and a corporate line to account managers. When a caller asks for a person during your Escalate to Human hours, the agent says it is putting them through, and the receiving phone shows the caller's own number. If nobody answers within 20 seconds, or the line is busy, the caller comes back to the AI agent, which apologizes and takes a callback request. Outside your staffed hours, the callback request is the default route. Twilio bills each transferred leg as a normal outgoing call on your account. If you also want to retire a keypad menu at the same time, the callbot page covers that side.

It is worth being precise about scale, because peaks are where a first line is judged. The Standard plan answers up to 5 calls at the same time and includes 200 voice minutes a month. The Pro plan answers up to 10 calls at once and includes 1,500 voice minutes. Each spoken answer also counts as one AI reply on the plan. When every line is busy, the next caller hears that the lines are busy and is asked to call again in a few minutes. When the month's minutes are used up, calls are declined with a short message until the minutes reset. If you need more minutes than Pro includes, more are available on request through [email protected]. Before you choose, compare the inbound minutes on the lines you plan to import with these allowances, and look at how many calls arrive together in your busiest half hour.

Callback requests deserve attention, because a wrong digit costs a customer. The agent asks for the caller's name and the number to call back on, says the number back digit by digit, and asks the caller to confirm it before anything is sent. The request goes to your escalation email, the same way the website chat escalates, and the full transcript waits in the dashboard. The person who returns the call knows the reason before dialling. Phone numbers and email addresses that callers give can also be saved as leads when lead collection is on.

For team leads, the transcripts may be the most useful part. Every call is stored as a conversation with the full transcript, next to your website chats. A weekly read of a sample shows how questions were answered, which calls went to people and why, and where your content left a gap. When a gap appears, the fix is usually content: a clearer help article, a new document, or one more AI Instruction. Uploaded documents and AI Instructions take effect on the next call. If the fix is on your website, have Asyntai read the changed page again.

A careful rollout keeps risk low. Start with one line, or with overflow only: keep your existing number for your agents and forward unanswered or after-hours calls to the Twilio number. Read the first week of transcripts with the team that owns the line. Adjust the AI Instructions, then import the next line.
