Important: While automatic crawling is the fastest and easiest way to get started, be cautious - your website may contain outdated information, old pricing, discontinued products, or pages you don't want the AI to reference. Always review what was crawled. If your website contains outdated, confusing or inaccurate information, consider removing the crawl from your knowledge base.


Step 1: Review Your Pre-Generated Instructions

First, check if the auto-generated instructions accurately represent your business.

Check for:

  • Business name & description - Is it correct?
  • Products/services - Are they accurate and current?
  • Pricing - Is it up to date?
  • Policies - Are shipping, returns, etc. correct?
  • Contact information - Phone, email, hours accurate?

If something is wrong or missing, edit the instructions directly. You can type anything you want - the AI will follow your guidance.


Step 2: Test Your AI

Now test how your AI responds to real questions.

Ask questions like:

  • "What do you sell?"
  • "How much does [product] cost?"
  • "What's your return policy?"
  • "How can I contact you?"
  • "Do you ship to [location]?"

Happy with the responses? Great, you're done! If not, continue to Step 3.


Step 3: Improve AI Responses

If the AI's answers aren't quite right, you have two options:

Option A: Edit Instructions

Recommended - Easy to update

You can write anything in your instructions - any text the AI should know. There's no required format or template.

Great for:

  • Any textual information about your business
  • Product info, pricing, policies
  • Behavior and personality guidelines
  • Rules and restrictions
  • Contact details and hours
  • Anything you want the AI to always know
Limit: 50,000 characters - plenty of room for detailed information. Easy to edit and update anytime.

Option B: Add to Knowledge Base

Fast - No typing required

Knowledge base lets you automatically import information from URLs, crawled pages, and uploaded files without manual typing.

Use when:

  • You want to add info quickly without typing
  • Adding website URLs or crawled pages
  • Uploading PDFs or documents
  • You have lots of product pages
  • Information already exists on your website
  • Your instructions are already full
Good for: Large catalogs, documentation, files - anything you want to import automatically.

Simple rule: Start with instructions - write whatever you want there. Use knowledge base for files, URLs, crawled pages, or when you run out of space in instructions.


Adding FAQ Pairs

FAQ pairs are the easiest way to teach your AI specific answers to common questions.

Add question-answer pairs for topics the AI doesn't handle well:

Q: Do you offer gift wrapping?
A: Yes! We offer free gift wrapping on all orders. Just select "Gift Wrap" at checkout and add a personalized message.
Q: What payment methods do you accept?
A: We accept Visa, Mastercard, American Express, PayPal, Apple Pay, and Google Pay. All transactions are secure and encrypted.

The AI will use these answers when customers ask similar questions, even if worded differently.


Write Whatever You Want

There's no required format or template for instructions. Just write in plain text - the AI understands natural language.

Key point: You don't need to follow any specific format. Write however makes sense for your business - bullet points, paragraphs, lists, whatever works.

Want your AI to be more proactive about selling?

Act as a friendly sales assistant who genuinely wants to help customers find the right product.

When talking to customers:
- Ask about their needs and use case before recommending products
- Highlight benefits, not just features
- Mention current promotions or deals when relevant

After answering a question:

Handle objections:

Keep all responses brief and direct.
- Use short sentences
- Use bullet points for lists
- Answer the question first, then offer to elaborate
- Never write more than 3-4 sentences unless the customer asks for details
- Avoid filler phrases like "I'd be happy to help you with that"

Managing Your Crawled Content

If the automatically crawled content contains outdated or incorrect information, you can delete the entire crawl and start fresh.

Consider deleting the crawl if:

  • It contains outdated pricing or promotions
  • It references discontinued products
  • Policies or terms have changed
  • The information is generally inaccurate

Note: You can only delete an entire crawl, not individual pages from it.

Tip: Instead of relying on automatic crawling, you can manually add specific URLs you want the AI to know about. This gives you more control over exactly what information the AI has access to.


Keeping Information Up to Date

Your AI is only as accurate as the information it has. There are two ways to keep it current:

Real-Time Data Feed

For information that changes frequently - like stock levels, prices, or availability - connect a real-time data feed. The AI will always have access to the latest data without manual updates.

Manual Updates

For information that changes occasionally - like policies, business hours, or product descriptions - update your instructions or knowledge base directly whenever something changes.
