Telephone answering service that knows your business
A telephone answering service takes your business calls when you cannot. With Asyntai, the one who picks up is an AI that has read your website and your documents. You keep your number, forward the calls you want covered, and get a transfer, a confirmed callback request or a saved lead out of each conversation.
Four jobs you outsource when the AI takes your telephone
An answering service is a set of jobs that someone outside your office does for you. Here is how each job looks when Asyntai does it.
Picking up in your name
The AI first says that it is an AI assistant, then says the greeting you wrote, with your business name in it. The caller hears a reply within a second or two and can interrupt it at any time.
“Thornbury Pest Control, how can I help with your pest problem today?”
Giving the caller a real answer
Treatments, service areas, prices you publish, how to prepare the home: the AI answers from your website, your uploaded documents and your AI Instructions. When your content does not cover a question, it offers a callback request.
“Do I have to take the dog out during the treatment?”
Writing down who to call back
The AI asks for the caller's name and a callback number, reads the number back digit by digit and waits for a yes. The callback request goes to your escalation email. A number or email address a caller gives can be saved as a lead.
“It's Marcus, on 6 1 7, 5 5 5, 0 1 9 3.”
Passing the call back to you
During the hours you set under Escalate to Human, a caller who asks for a person goes to the transfer number of that line. Your phone shows the caller's own number. No answer in 20 seconds, or a busy line, and the AI takes a callback request.
“Can I speak to the technician who came on Monday?”
Brief the AI the way you would brief an operator, only once
With a human answering service you write a call script and keep it up to date. With Asyntai the briefing is material you already have, plus a few sentences of plain English.
- Your website instead of a scriptAsyntai reads your site page by page: services, areas you cover, opening times and everything else your customers can read online.
- Documents for the detailsA price sheet, preparation instructions for a treatment, warranty terms. Upload a PDF file or paste the text.
- AI Instructions for judgement callsWhich questions always get a callback request, what counts as urgent, what never to quote on the phone. Instructions take effect on the next call.
Your customers dial the same number. The answer comes from elsewhere.
A remote phone answering service works because your phone line can send calls on. You keep the line. Its call forwarding sends the calls you choose to a number in your own Twilio account, and the AI answers there.
- No new number to printYour number stays on your van, your website and your invoices. Only the forwarding setting on your line changes.
- You pick the share of callsForward on no answer, on busy, outside office hours, or all calls. You can also publish the Twilio number as your main line.
- Change it when the business changesStart with the calls you miss on jobs, then forward all calls in your busy season. The change is made on your line, not in Asyntai.
Outsource your telephone in four steps
You need an Asyntai Standard plan or higher and a Twilio account with a voice-capable number. Twilio bills you directly for the number and the call minutes.
- Create an Asyntai account and add your website. The pages are read in a few minutes. Upload your price sheet and any preparation guides.
- Write your greeting on the Voice Agent page and make a free test call in the browser. Ask the questions your customers ask you on the phone.
- On the Phone Calls page, paste your Twilio Account SID and Auth Token, then press Import next to the number that will take your calls.
- Add the transfer number and set your hours under Escalation. Then set call forwarding on your business line and call your own number to hear it.
Voicemail, a human answering service or Asyntai
Three ways to cover a business phone that you cannot answer yourself. Each row is one practical point.
| Point | Voicemail | Human answering service | Asyntai AI answering |
|---|---|---|---|
| Who the caller talks to | Nobody. A greeting asks for a message after the tone. | An operator who works for the answering service | An AI assistant that says it is an AI, then your greeting |
| What the caller can find out | Only what your greeting says | What the script you agree with the service covers | Anything in your website, documents and AI Instructions |
| The message you get | Audio, if the caller leaves one | A message the operator takes down and passes on | A callback request with a name and a number the caller confirmed digit by digit, by email |
| Reaching you during the call | Not possible | Depends on the service you choose | Transfer to your number during your Escalate to Human hours |
| How it is billed | Usually part of your phone line | Usually by the minute or per call | A monthly plan with included voice minutes, plus Twilio charges for the number and minutes |
| What you keep after the call | The audio message | The operator's notes | The full transcript in your dashboard, and saved leads |
Asyntai plans with phone calls: Standard, $139 a month, 200 voice minutes and 2 calls at the same time; Pro, $449 a month, 1,500 voice minutes and 5 calls at the same time. Twilio prices are on the Twilio voice pricing page.
Telephone answering service: questions before you outsource
What a small business owner wants to know before someone else, or something else, answers the phone.
What does a telephone answering service do?
It answers your business calls when you or your staff cannot. A human service uses operators who take messages. Asyntai uses an AI that answers questions from your own content, puts callers through to you during your hours, and sends callback requests to your email.
Do I have to change my business number to outsource the phone?
No. You keep your number and use its call forwarding to send calls to a number in your own Twilio account, which the AI answers. If you prefer, you can also publish the Twilio number as your main business line.
How is an automated telephone answering service billed?
Asyntai is a monthly plan, not a charge per call. Standard is $139 a month with 200 voice minutes, and Pro is $449 a month with 1,500 voice minutes. Each answer the AI gives also counts as one AI reply on the plan. Twilio bills you separately for the number and the call minutes.
Who writes the script that the AI follows?
There is no script to write. The AI answers from your website, the documents you upload and the AI Instructions you add in plain English, for example which jobs always need an inspection first. If you change a document or an instruction, the next call uses it. When a web page changes, have Asyntai read the page again.
Can it put a caller through to me on a job?
Yes, during the hours you set under Escalate to Human. Each imported number has one transfer number, such as your mobile or the office line. If you do not answer within 20 seconds, or the line is busy, the caller goes back to the AI, which apologizes and takes a callback request.
Is it a good call answering service for a small business with one phone?
Yes, and one setting matters. If you forward your own mobile to the Twilio number when you do not answer, and also use that mobile as the transfer number, set the no-answer forwarding delay to more than 20 seconds. Or use another phone for transfers. Then a transfer you miss comes back to the AI.
What happens when two customers ring at once?
Both are answered on Standard, which takes 2 calls at the same time. Pro takes 5. A caller above that limit hears that the lines are busy and is asked to call again in a few minutes. When the month's voice minutes are used up, calls are declined with a short message until the minutes reset.
Can I pause the service for a while?
Yes. You can turn your forwarding off on your own line, or switch the number off in Asyntai, which declines calls with a short message. You can also remove the number, and Asyntai clears its webhook.
Outsourcing the business phone: what changes when the answering service is AI
You may be reading about a telephone answering service because the phone has become a problem. You are on a ladder, under a sink or in a customer's attic, and the phone in your pocket rings for the fourth time in an hour. Each of those calls could be a new job. You cannot take them, and you cannot afford to lose them. So you look at the options for handing the phone to someone else.
The first option is the one you already have: voicemail. It costs little and needs no setup, but it puts all the work on the caller. They have to decide to leave a message, say their number clearly, and then wait. A caller with a question gets no answer. You get a list of audio messages to play back at the end of the day, some with half a phone number, and you return the calls in the evening.
The second option is a human answering service. An outsourced phone answering service of this kind employs operators who answer calls for many businesses. You agree a script with the service, the operators greet callers in your business name, take messages and pass them on. Billing is usually by the minute or per call, so the bill grows with your call volume. What an operator can tell a caller is limited to the script you gave them, because the operator does not work in your business. When your prices or your service area change, the script has to change too, and you send the new version to the service.
The third option is an automated telephone answering service run by AI, and this is what Asyntai offers. Outsourcing here does not mean that your calls go to a call center. You keep your number. Your line forwards the calls you choose, for example the ones you do not answer, the ones that hit a busy line, the ones after office hours, or all of them, to a number in your own Twilio account. Asyntai answers that number. Twilio bills you for the number and the minutes, and your Asyntai plan covers the AI. It is a remote phone answering service in the plain sense: the phone is answered somewhere other than your office, on your behalf.
The difference is in the briefing. Asyntai reads your website page by page and the documents you upload, such as a price sheet or a preparation guide, and follows the AI Instructions you write. Take a small pest control firm as an example. A caller asks whether a bed bug treatment means leaving the house. The preparation guide says yes, for about six hours, so the AI says so. Another caller wants a price for termite work. The firm's instruction says never to quote termite work by phone, so the AI offers an inspection and takes a callback request. A restaurant manager asks about a monthly contract and gives a number, and that number is saved as a lead. At ten in the morning, a caller says there is a wasp nest next to the front door. The instruction for that case says to offer the office, so the AI puts the caller through to the office line. The AI does not invent prices or policies that are not in your content.
Handing over the phone does not mean losing contact with your callers. Under Escalate to Human you set the hours when calls may come back to you, and each imported line has one transfer number, such as your mobile. In those hours, when a caller wants a person, the AI tells them it is putting them through, and your screen displays their number. A transfer that rings for 20 seconds without an answer, or meets a busy line, returns to the AI. It apologizes and takes a callback request. After your hours, every request for a person becomes a callback request straight away. For that, the AI collects a name and a number, repeats the number one digit at a time and waits until the caller confirms it. Your escalation email receives the request, and the dashboard keeps the whole conversation as text. If you only want cover for evenings and for calls that hit a busy line, the AI answering service page looks at that case.
For a call answering service for small business, cost and capacity matter more than features. Phone calls are part of the Standard plan, $139 a month with 200 voice minutes and 2 calls at the same time, and the Pro plan, $449 a month with 1,500 voice minutes and 5 calls at the same time. Each answer the AI gives counts as one AI reply on the plan. When every line is in use, a new caller hears that the lines are busy and is asked to call again in a few minutes. If you run the business alone and use your own mobile both as the forwarded line and as the transfer number, set the no-answer delay above 20 seconds, or transfer to another phone, so a missed transfer returns to the AI. The AI receptionist for small business page covers more of the day-to-day setup.
An outsourced phone also gives you something to read. Every call is stored as a conversation with the full transcript, so you see what customers asked and what they were told. When an answer is weak, update the document, or have Asyntai read the changed page again. The website chat uses the same knowledge and the same AI Instructions, so a customer who writes to you online gets the same answer as one who calls. To start, create an account, add your website, write a greeting and make a free test call in your browser. Play a difficult customer: ask about a job you do not do, ask for a price you never quote, and ask for a person. When the answers sound like your business, connect Twilio, import the number and set your forwarding. The Twilio voice guide describes the setup step by step.
