Answering service for salons and stylists

Salon answering service with AI

A salon answering service should leave you with more than “Sarah called, call her back.” Asyntai answers your salon number from your service menu and policies. It handles the cancellation call, the client who plans her week at 9 pm and the bride with five bridesmaids, and every request reaches you with the service, the stylist and a number the client confirmed.

Calls that used to become messages

Four salon calls the AI answering service takes

Each call opens with a short note that this is an AI assistant, and then your greeting. What follows depends on what the client wants and on the rules you gave it.

The cancellation

The client hears your cancellation window and any fee in your own words, so the follow-up call is short. Then the agent takes the request with the appointment day and time, for the stylist to confirm and to offer a new slot.

“I can't make my gel fill on Thursday, I'm so sorry.”

The client who plans at night

A client may plan her week once the kids are in bed. The agent answers at 9 pm as it does at 9 am: it gives the online booking link from your rule, or takes a request with the times that suit.

“Do you have anything for a pedicure on Saturday morning?”

The question a message cannot settle

Whether brow lamination includes a tint, whether you take walk-ins on Saturdays, whether a gift card covers a service. A message pad would turn each of these into a callback. The agent answers from your menu and policies.

“Can I use a gift card for a lash lift?”

The group booking

A bridal party, a prom group, a birthday with four friends. With lead collection on, the number or email the caller gives is saved as a lead, and the transcript keeps the date, the number of people and the services.

“There are five of us for nails before a wedding in May.”
The salon's own words

Brief it once, not on every call

With an outside service you send a script and hope it gets read. With Asyntai the briefing is your service menu, your website and a few sentences in the AI Instructions, and the next call uses any change you make.

An answering service for the stylist who works alone

If you rent a suite or work alone, the salon phone is probably your own mobile. Send the calls you cannot take on to a Twilio number, and the agent handles them while your hands are busy, with no front desk needed.

  • Keep the number on your InstagramYour mobile forwards unanswered calls to the Twilio number. Clients dial the number they already have.
  • Mind the forwarding delayWhen transfers ring that same mobile, give it more than 20 seconds before it forwards, or use a second phone for transfers. Missed transfers then return to the agent.
  • Read the requests between clientsEach one sits in your escalation email with the transcript in the dashboard, ready for the gap after a fill.

Move the salon line to the AI answering service

Calls arrive on a number in your own Twilio account, which bills you for that number and the minutes. Asyntai connects with your Account SID and Auth Token and answers the number you import.

  1. Create an Asyntai account with your salon website and upload the service menu and your policy text. The pages are read in a few minutes.
  2. Add your request rules in the AI Instructions, then set the greeting on the Voice Agent page and try a free browser call, playing a client who needs to cancel.
  3. On the Phone Calls page, connect Twilio and press Import next to the number that should be answered.
  4. Set the transfer number and hours under Escalation, turn on forwarding for the calls you miss, and ring your salon from another phone.

FAQ

Salon answering service: what owners and stylists ask

For salon owners, suite renters and nail technicians who are thinking about an answering service.

What does the stylist get after a client calls?

An email with the client's name and a callback number the client confirmed after the agent read it back one digit at a time. The transcript in your dashboard shows the service, the stylist the client asked for and the times that suit, so you can check your book before you ring.

Can it cancel or move an appointment in our booking system?

It tells the client your cancellation policy and takes a request for the stylist, who changes the booking in the system you use. If clients can manage bookings online, a rule can give them that link as well.

I rent a salon suite and work alone. Does an answering service make sense?

Yes, on Standard. Let your mobile send unanswered calls on to the Twilio number. If that mobile also receives transfers, give it more than 20 seconds of ring time before it forwards, or transfer to a different phone. Then a transfer you cannot pick up lands back with the agent.

Several stylists share our front number. Can each one get calls?

Each imported number has one transfer number, so a shared line goes to one phone, such as the desk. The stylist's name goes into each request and transcript. If each stylist has a separate number, you can import every number and give each its own transfer number.

How does the cost compare with a per-call salon answering service?

Put the calls or minutes from your last invoice next to the plan minutes: 200 a month on Standard ($139) and 1,500 on Pro ($449). Every spoken answer also draws one AI reply from the plan, and Twilio invoices its line and minute charges itself.

Will it quote a price for a color correction?

It says what your service menu and rules say. For services you price after a consultation, write a rule with the starting price and the consultation step, and the agent takes a request for the stylist.

Can the salon desk take calls in the day and the AI at night?

Yes. Your phone provider sends calls to the Twilio number on the schedule you set: after closing, when the desk does not answer, when the line is busy, or always. The desk keeps the calls you want it to take.

What do we need to switch from our current service?

Asyntai on Standard or Pro, plus a full Twilio account, not a trial, that holds a number able to take voice calls. Twilio may check your business before it sells you a number. Run browser test calls while your current service keeps the phone, then move the forwarding once the agent sounds like your salon.

What to look for in a salon answering service

A salon answering service exists for one reason: the people who do the work cannot hold a phone while they do it. A colorist with foils half in, a nail technician mid-way through a set, a brow artist with wax at the right temperature. When the phone rings, the client in the chair comes first. The question is what happens to the caller, and what you have in your hands when the service is done.

With a traditional answering service, the call goes to operators at the service. They greet the client in your salon's name, write down who called and why, and pass the message on. That works for a simple callback. It works less well for the calls salons get most often, because many of those calls are questions with a known answer. Is brow lamination with a tint? Do you take walk-ins on Saturday? Can I use a gift card for a lash lift? When the answer is on your service menu, a message only delays it, and the client may book somewhere that answered.

Asyntai is an AI answering service. It answers your number, tells the client it is an AI assistant, gives your greeting, and then answers from your salon's own material: the service menu with prices and times, the website, and your policies. You can also add plain-English rules in the AI Instructions, for example which services always need a consultation first. If something is not covered, the agent does not make up a price or a policy. It offers to take a request for the stylist.

The second thing to check is the quality of what reaches you. A request is only useful if you can act on it between two clients without calling back to ask what the client meant. A rule can list what every appointment request must contain: the service, the stylist if the client has one, and two times that suit. The agent takes the client's name and callback number, repeats the number digit by digit, and holds on until the client says yes. The request is emailed to your escalation address, and the call's transcript waits in your dashboard. You see that Lena wants a gel fill with Dana on Thursday after four, not just “Lena called.”

Cancellations deserve their own rule. A late cancellation can leave a chair empty, and the call can come at any hour. When a client rings to cancel, the agent can repeat your cancellation window and any fee in the words of your policy, so the client knows where they stand before you speak to them. Then it takes the request with the appointment details. If clients can manage their own bookings online, a rule can also give them the link. Group bookings work the same way. A bride who wants nails for five in May is a lead, and with lead collection on, the number or email she gives is saved for you, with the date and the services in the transcript.

Small salons and suite renters have a special case: one person, one mobile, no desk. Have your mobile pass the calls you miss to a number in your Twilio account, and the agent takes them while you work. Want clients put through to that very mobile during your hours? Then give it a ring time above 20 seconds before it forwards, or route transfers to a second phone, and a transfer you miss returns to the agent. Transfers happen only in the hours you set for Escalate to Human, and the phone that rings shows the client's own number. Twenty seconds without a pickup sends the client back to the agent, which apologizes and notes a callback request. A larger salon with a shared front number can point the transfer at the desk, and the stylist's name still appears in every request.

Money is the next question. Traditional answering services are usually billed by the minute or per call, so a busy wedding season can show up on the bill. With Asyntai you pay one monthly price. Standard is $139 ($125 per month on yearly billing) for 200 voice minutes and two callers at a time. Pro is $449 ($404 per month on yearly billing) for 1,500 voice minutes and five callers at a time. A spoken answer uses one AI reply from the plan, and Twilio charges your own account for the line and the minutes. The answering service overview explains how the pieces fit for other trades too.

Last, look at what you learn. Every call is stored with its transcript, so after a month you can read which services clients ask about, which questions come in after closing, and which answers are missing from your website. When a policy changes, edit the policy text and the next call uses it. When a page on your website changes, have Asyntai read that page again. The same agent can also add a voice button to the chat on your website, so a client can ask out loud while looking at your services.

To try it, add your website, upload the service menu and the policy text, and write a rule for appointment requests. Make a free test call in your browser and act as three clients: one who cancels, one who asks about a gift card, and one with a bridal party. When the answers sound like your salon, connect Twilio and forward the calls you miss. If you want the AI to take calls during the working day as well, the AI receptionist for salons page covers that side. Stylists who are mostly on the move can also read the page on a mobile answering service.
