Answering service for landscaping companies
On the first warm weekend of spring, the phone rings while every crew leader is behind a mower. Asyntai is an AI answering service that handles that pattern. It explains your mowing plans and service area from your own price sheet, takes estimate requests for new beds and patios with a checked callback number, and passes client requests to the office, in April and in January alike.
What the phone brings a landscaping company through the year
The calls change with the weather. Each call starts with the agent saying it is an AI assistant and giving your greeting, and then it handles the season's questions from what you wrote down.
Spring: the estimate rush
Cleanups, mulch, new planting beds, a patio or a retaining wall. The agent tells the caller what you install and where you work, then takes a name and number for the estimate and checks the number with the caller digit by digit.
“Can someone look at our front beds before Memorial Day?”
Summer: maintenance contract clients
Weekly mowing clients call about a gate code, an extra visit before a party, or a skipped week. Plan questions get an answer from your price sheet. Changes to a visit become a callback request for the office, with the client's street in the transcript.
“We're away next week. Can you skip our mow?”
Fall: cleanups and lawn renovation
Leaf removal, aeration and overseeding, bulb planting. Callers hear what each service includes and when you start booking it. A caller who gives a phone number or email address can be saved as a lead for the fall list.
“Do you still have room for aeration this fall?”
Winter: snow contracts or quiet months
If you plow, the agent explains your snow contracts from your documents and gives urgent callers the number your rule names. If you close for winter, it tells callers when spring booking opens and takes their details.
“Our driveway wasn't plowed this morning.”
Plan questions answered from your own price sheet
Typical questions from a landscaping caller: do you come to my street, what does weekly mowing include, and what does it cost? If those answers are on your website or in a price sheet, Asyntai gives them during the call.
- Your websiteServices, design and install work, photos with descriptions, the towns you serve and your contact hours. Read page by page.
- Maintenance plans and pricesWhat a weekly or biweekly visit includes, lot-size pricing, cleanup and mulch rates, the season start and end dates. Upload a PDF or paste the text.
- AI Instructions for the seasonNo phone prices for design or hardscape, which zip codes you cover, and when spring booking closes. Change them as the season changes; the next call uses them.
When the first warm weekend fills the phone
Spring calls can arrive in bursts, on the very days your crews are busiest. The agent takes several at once, writes down what each caller wants, and leaves the office a sorted list instead of a pile of missed calls.
- More than one caller at a timeThe Standard plan answers 2 calls at the same time and Pro answers 5. Above that, a caller hears the lines are busy and is asked to call again in a few minutes.
- Each estimate request arrives with the property detailsLot size, the beds or the slope, the timing the caller wants: all of it in the transcript next to the confirmed number.
- Rules that follow the calendarEdit one AI Instruction when spring booking closes, and every caller from then on hears the new date.
Turn on landscaping call coverage for the season
The agent answers a number in your own Twilio account, and Twilio bills that number and its minutes to you. Forward every call in spring, only missed calls in summer, and only after-hours calls in winter: the forwarding is set on your phone line.
- Create an Asyntai account and add your website. The pages are read in a few minutes. Upload the maintenance price sheet and paste your service area.
- Write the season rules in the AI Instructions and the greeting on the Voice Agent page. Make a free test call in the browser and ask for a mowing price on a half-acre lot.
- On the Phone Calls page, connect Twilio with your Account SID and Auth Token, then import the number your clients call.
- Add the office as the transfer number and set the hours under Escalation. Turn on forwarding on your line and call it from a job.
Voicemail, an operator service or AI during the busy season
The rows follow a typical landscaping call: a new client in spring, a plan question in summer, and the bill at the end of the month.
| Point | Voicemail | Human answering service | Asyntai AI answering service |
|---|---|---|---|
| Who picks up | A recorded greeting | Operators at the service | An AI agent that says it is an AI assistant, then your greeting |
| A caller asks the mowing price | What the greeting says | As your script for the service says | The price from your sheet for that lot size |
| A request for a patio estimate | A message, if the caller leaves one | A message for you | A callback request with a number the caller confirmed, and the transcript |
| Several callers on a spring Saturday | One message after another | Depends on the service | 2 at once on Standard, 5 on Pro |
| The season changes | Record a new greeting | Send new instructions to the service | Edit an AI Instruction; the next call uses it |
| Billing | Usually part of your phone line | Usually by the minute or per call | A monthly plan with included voice minutes, plus Twilio for the number and minutes |
Human answering services differ, so check the terms of any service you compare. Asyntai transfers happen during Escalate to Human hours, to the transfer number of the line that was called.
One price in the rush and in the quiet months
The Voice Agent is part of the Standard and Pro plans. Every answer on a call also counts as one AI reply on the plan.
- Or $125 a month on annual billing
- 200 voice minutes each month
- 2 calls answered at the same time
- 15,000 AI replies each month
- Or $404 a month on annual billing
- 1,500 voice minutes each month
- 5 calls answered at the same time
- 50,000 AI replies each month
The phone number and call minutes are billed by Twilio on your own account; see Twilio voice pricing. For more minutes than Pro includes, write to [email protected].
Answering service for landscaping: owner questions
For lawn care companies, landscape installers and design-build firms that lose calls while the crews are working.
Can it answer while I am on a mower or running a crew?
Yes. Set your phone line to forward calls you do not answer to the Twilio number, and the agent picks them up. If that same mobile is also your transfer number, set the no-answer forwarding delay to more than 20 seconds, or transfer to a second phone, so a transfer you miss comes back to the agent.
Will it quote prices for weekly mowing?
It gives the prices that are in your price sheet or on your website, for example a weekly visit by lot size. For design, hardscape and planting projects, a rule such as "no phone prices, design visits are free" makes the agent explain that and take the caller's details.
How do spring estimate requests reach me?
As a callback request at your escalation email, with the caller's name and a number the caller confirmed. With lead collection on, the contact is also saved as a lead. The transcript in your dashboard has the property details the caller described.
Can maintenance clients skip or move a visit through the agent?
The request reaches the office as a callback request, with the client's name, a confirmed number and the street in the transcript. If your scheduling software has an API, Custom Tools on Standard and Pro can let the agent look up live data during the call, such as the next visit date.
Can I use it only in the busy season?
The forwarding on your line decides which calls reach the agent. Forward all calls in spring and only missed calls in summer. In Asyntai you can also switch a number off, which declines calls with a short message, and switch it on again later.
What does it say to snow removal clients in winter?
What your snow contract document and rules say: trigger depth, what the contract covers, and the number to call when a driveway was missed. Write that number in the AI Instructions, and the agent gives it at any hour.
Do I need a new phone number for my trucks and signs?
No. Keep your number and forward calls to a number in your own Twilio account, or publish the Twilio number as your main line. Twilio may ask for business verification before you buy a number, and a trial Twilio account cannot be used.
Can website visitors talk to it too?
Yes. The same agent can add a voice button to the Asyntai chat widget on your website, so a visitor can ask about mowing plans out loud. It uses the same price sheet, the same rules and the same voice minutes, and the transcript goes into the chat.
What a landscaping company needs from an answering service
A landscaping business does not have one phone problem. It has four, one per season. In spring the phone can ring without a break, as the weather turns and yards need work. In summer the calls come from clients on maintenance contracts. In fall it is cleanups and lawn renovation, and in winter the line either goes quiet or turns into a snow removal hotline. An answering service for landscaping has to handle all four without costing a spring-sized bill in January.
The spring rush is where calls get lost. The owner is on a mower or on a skid steer, the crew leaders are spread across a dozen properties, and the person who answers the office phone is also the one ordering mulch. A new client who calls about a planting bed or a paver patio and hears nothing can simply dial the next company. Asyntai answers that call. It tells the caller what you install, whether their street is in your service area and how your estimate visit works, then asks for a name and a callback number. It reads the number back digit by digit and waits for the caller to say yes, so the estimate list in your inbox has numbers you can actually dial.
Prices are the next question, and here your own paperwork does the talking. Upload your maintenance price sheet: what a weekly or biweekly visit includes, prices by lot size, spring cleanup and mulch rates, the season dates. The agent answers from it, so a caller with a quarter-acre lot hears the price for a quarter acre, and a caller outside your area hears that you do not reach their town. For design work, patios and retaining walls, write a rule that the agent gives no price and offers a design visit instead. Every price it gives comes from your sheet.
Summer brings a different caller: the client who already pays you every week. They want to skip a visit while they are away, add an edging job before a party, give a new gate code, or report a sprinkler head your crew clipped. Some of these have an answer in your documents, such as the rain policy. The rest become callback requests for the office, with the client's name, a confirmed number and the street in the transcript. When a client asks for a person, the agent puts them through to the transfer number during your Escalate to Human hours. If nobody answers within 20 seconds, the call returns to the agent, which apologizes and takes the request.
Seasonal rules are where an AI answering service saves the most rework. Spring cleanups close on a date. Aeration and overseeding open on another. Bulb planting needs orders by a deadline. Each of these is one sentence in the AI Instructions, and the next call uses the change. There is no script to send to anyone and no operator to brief. The same goes for your service area: paste the zip codes you cover, and update them when you add a crew.
The cost question looks different for a seasonal business than for an office. A human answering service is usually billed by the minute or per call, so the bill follows your call volume up in April and down in December. Asyntai is a flat monthly plan. Standard costs $139 a month ($125 billed annually) and includes 200 voice minutes and 2 calls at the same time. Pro costs $449 a month ($404 billed annually) and includes 1,500 voice minutes and 5 calls at the same time. Each answer on a call also counts as one AI reply on the plan, and Twilio bills the number and call minutes on your own account. When the month's voice minutes run out, calls are declined with a short message until the minutes reset, so pick the plan for your spring volume. The plan finder helps you choose.
You decide how much of the phone the agent takes, and you can change it with the weather. Your phone provider's call forwarding sends calls to the number in your Twilio account: all of them during the spring rush, only the missed ones in summer, only after hours in winter. Your number stays on the trucks, the yard signs and the invoices. In Asyntai you can also switch a number off for a while, and callers hear a short message instead. Every call is stored as a conversation with its full transcript, so by June you can read which services spring callers asked for and which towns called most.
Your website can give the same answers out loud. On the Voice Agent page you can switch on a voice button in the Asyntai chat widget, so a visitor looking at your mowing plans can ask about them by talking instead of typing. It draws on the same price sheet and season rules, uses the same voice minutes, and the transcript goes into the chat. A homeowner who phones and one who browses at midnight hear the same mowing price and the same spring booking date.
To start, create an Asyntai account, add your website, upload the price sheet and write two or three season rules. Make a free test call in your browser: ask for a mowing price, request a patio estimate and ask whether you plow. When the answers sound like your company, connect Twilio and set the forwarding.
