Answering service for accountants and advisors

Financial answering service with AI

From January to the April filing deadline, an accounting office gets more calls than it has people to take them. Asyntai is an AI answering service that takes the overflow. It tells callers what to bring and which forms to wait for, from your own checklists and website. New clients are saved as leads, and anything about a client's own return goes to the preparer as a callback request or a transfer.

Who it is for

An answering service for accountants, bookkeepers and advisors

Each call opens with the agent saying it is an AI assistant, then your greeting. The firm's content and rules decide the rest, so the same service fits a tax practice, a bookkeeping firm or a planning office.

Tax preparers in filing season

Clients ask when their 1099s arrive, whether a prior-year return is needed and how to drop off documents. The agent answers from your tax checklist and turns appointment requests into callback requests with a confirmed number.

“Do I need to bring last year's return?”

Bookkeeping firms with monthly clients

Business owners call about month-end, payroll dates or how to share bank statements. Prospects ask what a monthly package includes. The agent answers from your package pages and saves the prospect's number or email as a lead.

“What does your monthly bookkeeping include for a small shop?”

Financial advisors and planners

Callers ask about your planning process, the first meeting and how your fees work, all from your website. A question that needs a view on someone's own money goes to an advisor, by transfer during your hours or by callback request.

“How does your first planning meeting work?”

Deadline weeks for every firm

The last week before a filing deadline can fill every line. Standard answers 2 calls at the same time and Pro answers 5. A caller above that limit hears that the lines are busy and is asked to try again in a few minutes.

“Is it too late to get my return done this week?”
Checklists, not guesswork

What a financial answering service can tell a caller

A traditional answering service passes the question on. Asyntai answers the questions your office already answers in writing, and follows your rules for the ones that belong to a professional.

  • Your document checklistThe tax organizer, the list of forms to bring, how to upload or drop off papers. Upload a PDF file or paste the text.
  • Services and fees on your websiteReturn preparation, bookkeeping packages, payroll, planning services, office hours and the address, read page by page.
  • Rules for professional questionsNo tax, investment or retirement advice on the call, and questions about a client's own return or account go to the preparer or advisor.

What callers leave with

In tax season, every message is one more call to return

A pile of messages in March means the team spends April evenings on the phone. When the checklist questions end on the first call, the callbacks that remain are the ones that need a preparer.

  • Checklist questions end on the callWhat to bring, where to upload, when the office opens on Saturday: answered from your documents.
  • Return questions reach the preparerA name and a confirmed number by email, and the caller's question in the transcript.
  • New clients are not lost in the rushWith lead collection on, a prospect's phone number or email address is saved as a lead.

Setup

Forward the office line to the AI answering service

The agent answers a number in your own Twilio account; Twilio bills you for the number and the call minutes. Clients keep dialing the office number, and your phone line forwards the calls you choose.

  1. Create an Asyntai account and add the firm's website. Upload the tax checklist and your package list. The pages are read in a few minutes.
  2. Write the advice rule and the client-question rule in the AI Instructions, in a sentence or two each.
  3. Type a greeting on the Voice Agent page, then try a free call from the browser. Ask what to bring, then ask whether you should open a Roth IRA.
  4. Paste your Twilio Account SID and Auth Token on the Phone Calls page and import the office number. Enter the reception phone for transfers, set office hours under Escalation, and switch on forwarding at your phone provider.

FAQ

Answering service for accountants and advisors: common questions

What a tax practice, bookkeeping firm or advisory office checks before an AI takes its calls.

What does a financial answering service do, and how is the AI version different?

It answers the firm's phone when nobody in the office can. A traditional service takes a message for you. Asyntai answers from your checklists, website and AI Instructions, so a caller who asks what to bring hears the answer on the call. Calls that need a professional become a callback request or a transfer.

Can it keep up with tax season call volume?

Standard answers 2 calls at the same time and includes 200 voice minutes a month. Pro answers 5 at once and includes 1,500 minutes. When every line is busy, the next caller is asked to call again in a few minutes. Use last season's call log to pick the plan, and write to [email protected] for more minutes than Pro.

Will the AI give tax or investment advice?

It follows your AI Instructions. A rule such as "never give tax, investment or retirement advice; offer a callback from a preparer or advisor" sets the reply. It answers from your content and does not invent figures. Test the rule in a free browser call before you connect a number.

Can a client find out whether we received their documents?

If your client portal or practice software has an API, Custom Tools on the Standard plan and up can let the agent look up live data during a call. Without that, a rule can tell the agent to take a callback request for the client's preparer.

Can calls for the tax team and the advisors go to different people?

Each imported number has one transfer number. Import one number for tax and bookkeeping and one for planning, give each its own transfer number, and publish each where its clients see it. Transfers happen during your Escalate to Human hours.

How do bookkeeping and planning prospects reach us?

With lead collection on, a phone number or email address the caller gives is saved as a lead. The agent also takes a callback request with the caller's name and a number it reads back for confirmation, and the transcript shows which service the caller asked about.

Can we use the answering service only from January to April?

Yes, because your phone line decides which calls reach the agent. Forward all overflow in the season and only after-hours calls for the rest of the year, or turn the forwarding off. You can also switch the number off in Asyntai, and calls to it are declined with a short message.

What does an AI answering service for accountants cost?

Phone calls come with the Standard plan, $139 a month or $125 billed annually, and the Pro plan, $449 a month or $404 billed annually. Each answer on a call also counts as one AI reply on the plan. Twilio bills the number and the call minutes on your own account.

A financial answering service for the months when the phone never stops

An accounting practice does not have an even year. For a few months the phone rings all day: clients asking which forms to wait for, new clients asking whether you still take returns, business owners asking when the books for the quarter will be ready. For the rest of the year the calls slow to a level one person can handle. That is the problem a financial answering service has to solve: enough capacity for the peak, without paying for peak capacity in August.

A traditional answering service for accountants solves it with operators. The service answers in the firm's name, takes a message and passes it on, usually billed by the minute or per call. In the season, that can mean a long list of messages, and each one is a call your team has to return. Asyntai takes another approach. Your office line forwards to a Twilio number that belongs to the firm, and an AI picks up there, working from your site, your uploaded files and the AI Instructions you wrote. A caller who asks whether they need last year's return hears the answer from your checklist, and the call ends there.

The documents you already give clients become the agent's knowledge. Upload the tax organizer, the list of forms to bring, the instructions for your client portal and the drop-off times for the office. Asyntai reads your website page by page as well: the services, the fees you publish, the bookkeeping packages, the team. When a new season starts, upload the new checklist; uploaded documents and AI Instructions take effect on the next call. When you change a page on the website, have Asyntai read the changed page again.

Some questions belong to a professional, and your rules keep them there. A caller may ask whether to file jointly, whether to take a retirement payout this year, or how much to set aside for estimated payments. One rule covers all of them: the agent gives no tax, investment or retirement advice, says that a preparer or advisor answers it, and offers a callback or a transfer. A second rule covers questions about a client's own return, refund or account: the agent takes the name and a callback number for the preparer. It answers from your content and does not invent figures, so the rules mostly decide the wording the caller hears.

Callers who need a person get one in office hours. Every imported line carries a single transfer number; for example, reception. Inside the Escalate to Human hours, the AI announces the transfer, and the caller's own number appears on the phone that rings. When reception does not pick up for 20 seconds, or is on another call, the AI comes back on, says sorry and writes up a callback request. A planning team that wants its own calls can have a second line imported, with the advisors' desk as its transfer number. Whichever path a call takes, the request lands in your escalation email, and the number in it is one the caller heard repeated and approved.

New clients are the calls a firm cannot afford to lose in March. A small business owner who wants monthly bookkeeping, a family moving to the area who needs a preparer, a retiree looking for a planner: each of them will call another firm if nobody answers. The agent tells them what your packages include and how the first meeting works, from your own pages. With lead collection on, the number or email address they give is saved as a lead, and the transcript in your dashboard shows what they asked. Financial offices that also sell insurance can look at the AI receptionist for insurance agencies page for quote and claim calls.

Cost follows the season too. Rather than a meter that runs per minute, you pay a fixed monthly fee: $139 on Standard, which covers 200 voice minutes and two simultaneous callers, or $449 on Pro, which covers 1,500 minutes and five simultaneous callers. Every spoken answer also uses one of the plan's AI replies, the same as a chat message does. Twilio invoices the line and its minutes separately. Because your own forwarding sets how much traffic arrives, a practice can send every overflow call in the busy months and only the evening calls in the quiet ones. The plan finder helps you match a plan to last season's call volume.

The season also leaves you a written copy of every call. Read the transcripts in May and the gaps in your client material stand out: the form people could not find on the checklist, the drop-off hours nobody could locate on the website, the question about estimated payments that came up week after week. Add those answers to next year's organizer or to the website, upload the new version in January, and the AI starts the next season with them. Bookkeeping and planning calls continue all year at a slower pace, and the same setup covers them with the forwarding turned down to evenings only.

To try it before the season, create an account, add your website, upload the checklist and write the two rules. Make free test calls in the browser and play the callers you know: the client who has lost a 1099, the one who wants to know if the refund went out, the one who wants advice on a pension. Read the transcripts, sharpen the rules, then connect Twilio and import the office number. Firms outside finance can start from the answering service overview.
