Outsourced Live Chat Service Pricing: What Providers Actually Charge

An outsourced live chat service puts other people's agents on your website. Published plans start at $185 a month for 50 chats and run to $999+ a month for a 24/7 team with phone transfer. A dedicated agent of your own costs $1,400 to $1,700 a month, and covering all 168 hours in a week takes at least 4.2 of them.

The sticker price is the easy part. The number that decides your bill is what the provider counts as one chat.

Most articles on this topic quote a single average and move on. That average is useless, because the four pricing models in this market produce bills that differ by a factor of ten for the same traffic. Below are the real published numbers, the arithmetic behind them, and the five questions that change the quote you get.

What providers actually charge

Three of these companies print their prices. The rest make you book a call first, which is itself a useful signal about where their floor sits.

Sector-wide, outsourced customer service is commonly quoted at $8 to $35 per hour, with premium and specialist work running to $49.

The per-chat number nobody prints

Divide a bundle by the chats it includes and the pricing logic falls out. Here is HelpSquad's own ladder:

That is a thin volume discount, and it is the tell. In a bundle model you are not buying scale. You are buying a block of agent attention, and attention does not get cheaper when you order more of it.

Now put a flat plan next to it. ChatAgents charges $249 for unlimited chats. At 100 chats a month that is $2.49 each. At 500 chats it is $0.50 each. Same service, same month, and the cost per chat drops by a factor of five purely because of how the contract is written.

Before you compare providers, work out how many chats you actually get. The pricing model will matter more than the sticker price.

Why 24/7 costs what it costs

This is the arithmetic that explains every price on the page above, and almost nobody shows it:

A week = 168 hours
One full-time agent = 40 hours
168 ÷ 40 = 4.2 agents to cover the clock once
4.2 × $1,400 = $5,880 a month, before holiday and sick cover.

That is the honest floor for a dedicated 24/7 team of your own, using the cheapest published dedicated rate in the table. At the Americas rate of $1,700 it is $7,140. Add annual leave, sickness and training and a real rota needs closer to five heads, not 4.2.

So how does anyone sell you 24/7 for $249? They do not give you an agent. They give you a slice of a pool of agents who are covering many websites at once. That is not a trick, it is the entire product. But it explains the quality gap people complain about, and it tells you what the service can and cannot do.

How much one agent can actually handle

Chat agents work several conversations at once. New agents take one. Experienced agents run two or three. Strong ones reach four. Average handle time on chat sits at four to six minutes, so an agent gets through roughly three to five chats an hour.

Two things follow. First, a shared pool absorbs your quiet hours cheaply, which is why the flat plans exist. Second, the agent answering at 3am is holding three other conversations for three other companies, and knows your business through the FAQ list you supplied. Five questions to ask before you sign

  1. What counts as one chat? If a visitor comes back the next day, is that one chat or two? Does a chat that nobody answers still count? On a 50-chat plan this definition can move your real bill by 30%.
  2. What does chat number 51 cost? Get the overage rate in writing. Bundle plans are priced so that the overage, not the plan, is where the margin lives.
  3. Can you export the transcripts, and who owns them? Those transcripts are the only record of what your customers keep asking. You need them to fix your website. Some contracts keep them on the provider's platform.
  4. What happens when the agent does not know? Ask to see the escalation path and the median time to hand off to your team. An agent working from 25 FAQs will hit the wall regularly, and how gracefully they hit it is the whole customer experience.
  5. What is the notice period? ChatAgents states month to month with no lock-in. Others want a year. Ask before the discovery call ends, not after.

When outsourcing is the right call

Outsource

  • A person has to pick up the phone. Live transfer to a human voice is a real product, priced accordingly at $799 a month.
  • Regulated work where a named person must take responsibility.
  • Sales chat where the job is booking a meeting, not answering a question.
  • A spike you cannot staff: a launch, a season, a recall.
  • Your questions genuinely do not repeat.

Do not outsource

  • Your top 20 questions repeat every week and the answers are already on your site.
  • You send under a few hundred chats a month, so you are paying $3.50 to read out your own pricing page.
  • You need answers in eleven languages at 3am.
  • Your product changes weekly and the FAQ list cannot keep up.

What an AI chat agent does instead

An AI agent works the other way round. Instead of you writing 25 FAQs for someone else to read out, it reads the pages and documents you already have and answers from them. It holds any number of conversations at once, in any hour, in the visitor's own language.
