Answering service pricing

Answering service cost, and what cheap means

The cost of an answering service comes from two things: the way it bills and the way your phone rings. This page explains the common pricing models, shows you how to estimate your own monthly minutes from your call log, and sets the Asyntai AI answering service next to them, with its real plan prices.

Four ways an answering service can put a price on your calls

Quotes from answering services are built from a small set of models, alone or combined. Know which model is behind a quote, and you know which questions to ask before you sign.

By the minute

The service counts the time spent on your calls and bills each minute. The bill follows the length of your calls, not only their number.

Ask: how is a part minute rounded, and do transfers or message handling count as time?

By the call

Each handled call has a set charge, whatever its length. A ten-second question and a six-minute order cost the same.

Ask: are wrong numbers, hang-ups and sales calls counted as calls?

A monthly bundle

A fixed monthly fee includes a set number of minutes or calls. The fee is easy to budget while your usage stays inside the bundle.

Ask: what happens to unused minutes, and what does the fee include besides answering?

Overage above the bundle

Usage above the bundle is billed at a separate overage rate. In a busy month, that rate decides a large part of the invoice.

Ask: what is the overage rate, and are there setup or holiday fees?
Your own numbers

Estimate your monthly minutes from your call log

No price list tells you what a service will cost you. Your call history does, from your phone bill or your provider's account page, and three steps turn it into an estimate.

  • Count the calls that would reach the serviceTake one normal month. Count the calls you missed, the calls that met a busy line, and the calls outside your hours. Those are the calls you would forward.
  • Find a typical call lengthLook at the length of the calls your team did answer, or time a few test calls with the AI in your browser.
  • Multiply, then add roomCalls times length gives minutes. Add some room for a busy month, and compare the total with 200 and 1,500 minutes.

Cheap, measured properly

A cheap answering service is cheap per finished call

The lowest monthly figure is one way to read cheap. A better one is the cost of each call that ends with the caller helped and your team clear about what to do next.

  • Calls that end with an answerWhen the price, the area or the opening time is in your content, the agent gives it, and no callback costs your team time later.
  • Callback numbers that are rightThe agent repeats each digit of the callback number and asks the caller to confirm it, so the second call reaches the right person.
  • A busy month at the same priceThe Asyntai plan price stays the same however your calls are spread across the month. The included minutes are the limit to watch.

Before you spend

Measure first, then connect the line

The browser test call is free, so you can time real conversations before you rent a number. Twilio charges start once you have a number on your Twilio account and calls reach it.

  1. Pull last month's call history from your phone provider and count the calls you would forward, as in the example above.
  2. Create an Asyntai account, add your website and your price list, then make a few free test calls on the Voice Agent page and note how long they take.
  3. Pick Standard or Pro by comparing your estimated minutes with 200 and 1,500. Leave room for a busy month.
  4. Connect Twilio on the Phone Calls page, import your number, set a transfer number and your Escalation hours, and turn on the forwarding you budgeted for.

FAQ

Answering service cost: questions about the bill

For owners who compare quotes, or who look for a cheap answering service that still does the job.

How much does an answering service cost?

It depends on the pricing model and on your calls. Human services are usually billed by the minute or per call, so ask each provider for its rates and terms. Asyntai costs $139 a month on Standard or $449 a month on Pro, plus Twilio's charges for the number and the call minutes.

What makes an answering service cheap?

Look at the cost of each call that ends well, not only the monthly figure. A call that ends with an answer needs no callback, and a callback number that the caller confirmed reaches the right person the first time.

Does Asyntai charge per call or per minute?

Neither. You pay a fixed monthly plan that includes voice minutes: 200 on Standard and 1,500 on Pro. Twilio, not Asyntai, bills the per-minute charges of the phone network on your own Twilio account.

Is there an overage charge when the minutes run out?

The plan price stays the same. When the month's voice minutes are used up, calls are declined with a short message until the minutes reset. To avoid that, move to Pro, or write to [email protected] if you need more minutes than Pro includes.

How do I work out how many minutes I need?

Count the calls in one month that you would forward, such as missed and after-hours calls, and multiply by a typical call length. Compare the total with 200 and 1,500 minutes, and leave some room. The plan finder also suggests a plan.

Can I keep the cost down by forwarding only some calls?

Yes. Your phone line decides which calls reach the agent. Forwarding only the calls you do not answer, or only the evening calls, uses fewer minutes than forwarding all of them. The call forwarding answering service page explains each rule.

Do transfers to my team add to the cost?

Twilio bills the transferred leg as a normal outgoing call from your Twilio number. Transfers happen during your Escalate to Human hours, to the transfer number you set for the line.

Can I try it before I pay for a phone number?

Yes. After you add your website, the Voice Agent page has a free test call in the browser. You can time a few typical calls there before you rent a number from Twilio.

What an answering service really costs, and how to compare quotes

Searching for answering service cost tends to produce headline numbers that are hard to compare. One provider quotes a rate per minute, another a fee per call, a third a monthly package with a set number of minutes. None of them can tell you what your own month will cost, because that depends on how your phone rings. This page takes the opposite route. It explains the pricing models in general terms, without quoting any provider's prices, shows how to measure your own call pattern, and then sets the Asyntai AI answering service against both, with its real plan figures.

Per-minute pricing is the most direct model: the service counts the time spent on your calls and bills each minute. Your invoice then follows the length of your calls as much as their number. Before you compare per-minute quotes, find out how a part minute is rounded, whether the time of a transfer or of passing on a message is counted, and whether there is a monthly minimum. Two quotes with the same rate can lead to different invoices once those rules are applied.

Per-call pricing charges a set amount for each call handled, whatever its length. It suits a line with long calls and can be costly for a line with many short ones. The question to ask is what counts as a call: a wrong number, a caller who hangs up during the greeting, a sales call. Monthly bundles combine the two ideas. A fixed fee includes a number of minutes or calls, and usage above it is billed at an overage rate. A bundle makes an ordinary month easy to budget. A busy month is billed at the overage rate, so ask for that rate in writing, together with any setup or other fees.

The Asyntai model is a fixed monthly plan. Standard costs $139 a month, or $125 a month billed annually, and includes 200 voice minutes, 2 calls at the same time and 15,000 AI replies. Pro costs $449 a month, or $404 a month billed annually, and includes 1,500 voice minutes, 5 calls at the same time and 50,000 AI replies. Each answer the agent gives on a call counts as one AI reply, and the replies are shared with your website chat. The plan price does not move with the number of calls. The limit to watch is the minutes: when they are used up, calls are declined with a short message until the minutes reset. For more than Pro includes, write to [email protected].

The second part of the cost is the phone line. Asyntai answers a number in your own Twilio account, and Twilio bills you directly for the number's monthly rental and for the call minutes, at its own rates. When the agent transfers a caller to your team, Twilio bills that leg as a normal outgoing call. If you keep your existing number and forward calls to the Twilio number, ask your current phone provider whether forwarded calls cost anything on your plan. Twilio publishes its rates for each country on its voice pricing page, which is linked under the comparison table above.

To estimate your own minutes, start from your call history rather than from a guess. Take a normal month and count the calls you would hand to an answering service. Take an appliance repair company as an example. In September its main line had 410 calls. 96 rang out or met a busy line during the working day, and 58 came in after 6 pm or at weekends. A typical call lasted about two and a half minutes. Forwarding only the evening and weekend calls comes to about 145 minutes, inside Standard's 200. Forwarding the missed daytime calls as well comes to about 385 minutes, which points to Pro. After the first weeks, every call is in your dashboard as a conversation, so you can check the estimate against what really happened.

That leaves the question of what a cheap answering service is. A low monthly figure is one reading. The more useful reading is the cost of each call that ends well. A caller who asks whether you repair a certain dishwasher brand, and gets the answer from your website, needs no callback at all. A caller who does need your team leaves a name and a number that the agent has repeated digit by digit and the caller has confirmed, so nobody wastes time on a wrong number. A caller who gives a phone number or an email address can be saved as a lead. Count those outcomes when you set two quotes side by side.

There are practical ways to keep the bill low. Forward only the calls you would otherwise miss: the no-answer and busy rules on your line send fewer calls than forwarding everything. Start on Standard if your estimate fits, and move to Pro when your minutes come close to the limit. Pay annually once you are sure, which brings Standard to $125 a month and Pro to $404. A seasonal line can be switched off in Asyntai when you do not need it, and calls to it are then declined with a short message. Keep your documents and AI Instructions clear, so the agent can answer in one go rather than offer a callback.

The free browser test call is the cheapest step of all. Add your website and price list, write a greeting, and make a few calls the way your customers would. Time them, and use that length in your estimate. Then compare your figure with 200 and 1,500 minutes and add your Twilio estimate. The answering service guide explains how voicemail, human services and AI differ beyond the price.
